**Job description**:

- Management of the team of the Administration Services as well as of two receptions
- Organization and supervision of the Administration team to ensure the best service and to cover all the needs of all departments
- Organization and supervision of 2 reception teams to ensure the best possible service for each of the buildings, including the other brands
- Ensure coverage of all general administrative tasks, including management of the Directorate’s agenda, organization of meetings and events
- Transcribe, prepare and format meeting minutes for management meetings
- Business travel management for all employees
- Prepare and proofread a wide variety of documentation, including communications, correspondence, presentations, memos, newsletters, etc
- Responsible for the purchasing for the company, including creation of Purchase Orders
- Act as a point of contact for various queries from different internal and external stakeholders

- Commercial education
- Ability to work accurately and effectively under pressure and to prioritize workload
- High level of initiative and proactivity
- Strong social skills, teamplayer
- Very good organizational skills
- Customer oriented, open mind, flexible, independent
- Discrete and trustworthy
- Very good knowledge of MS Office

**Professional requirements**:

- Several years of experience as administrative assistant or similar position

**Languages**:

- Excellent communication skills in German, French and English, written and spoken
