General Description:
The position will have oversight and management of all BeiGene office sites in Europe, New Markets, Australia, Canada, and Korea regions, (Ex China and US). The focus will be on day-to-day Workplace Services operations, Real Estate, Facilities, Administration, Capital Projects, maintenance of current and future offices, and project management, within a collaborative team environment, while delivering responsive, positive service to internal clients and key suppliers.

Partner with relevant business functions, clients, and external suppliers to organize and lead events/conferences required by the company to meet business development, expansion, etc.

Expected to take a lead role on larger projects or facilities activities with limited guidance and direction.

Accountable for preparing, forecasting, and managing global Workplace Services budgets.

Interacts with other leaders within all the regions and Global team to share best practices and ensure best-in-class services are delivered regionally and globally.

Essential Functions of the job:

- Provides the Management direction for all Administration, Facility Management services and Project Management, utilize all internal/external resources to meet company demands and increase service quality, standard, and customer satisfaction
- Ensures that all Facilities within the regions are operated and maintained in a cost-effective and safe condition
- Directly manages the Real Estate activities within these regions; identifies real estate requirements through consultation with key stakeholders, Global Workplace Services, Finance, HR, and IT
- Utilizes outside real estate professionals to identify and secure real estate properties. Leads lease negotiations in consultation with the VP, Global Workplace Services
- Directs facilities and project manage office construction, renovation, office relocation projects, and ensures cost effectiveness and timely completion of construction projects
- Manages facilities design, layout, and tenant improvement projects utilizing architects, designers, other appropriate professionals, or available tools
- Manages and leads certain Workplace Service global projects and create and communicate the guidelines, processes and procedures
- Serves as first point of contact in the regions as it relates to travel and security, working closely with Global Travel and Global Security
- Contracts for and manages the maintenance of interior office spaces, and utilities operations. Identifies security or life safety system issues and incorporates appropriate measures for building security and safety not addressed by landlords
- Ensures that the quality of service provided by outside service contractors or purchased assets meet corporate standards
- Reviews and approves all expenditure for services, tools, equipment, supplies, materials, and additional contract requirements within given authorization
- Develops annual budget for each country/region and works closely with Workplace Services team and Finance to ensure the cost is controlled and within budget
- Prepares business case justifications and budgets. Procures services, leasehold improvements, or facilities assets in connection with project plans and within budgets
- Manages, directs, and schedules day-to-day and long-range activities for properties within each region and ensure that all programs and procedures are built-up and being properly implemented
- Resolves problems and/or conflicts and maintain open communication with key stakeholders, including providing written and/or verbal reports to ensure satisfaction
- Manages contractor specifications, problems/issues, performance, and administration
- Recommends solutions and implements appropriate corrective action for major or complex service complaints, technical, and maintenance issues, if needed
- Communicates the operating philosophy, objectives, and expectations to team leaders and relative vendors
- Conducts and manages regular customer satisfaction surveys, including action plans, feedback loop closure, and improvement strategies
- Complies with all company policies and procedures and adheres to global and local standards
- Identifies and implements cost saving initiatives within scope
- Identifies, implements, and develops best practice outcomes and solutions to improve service, operations, and customer satisfaction
- Maintains regular communication and engagement with business functions to ensure value add to the whole company and continued business development

People Management:

- Conducts formal performance reviews for all direct reports per BeiGene’s guidelines
- Creates and implements training and development plans for all direct reports
- Meets all reporting governance needs and creates, presents, and hosts such needs as required, focusing on each specific country’s requirements

Qualifications:

- Bachelor’s degree in Business Administration, or Electrical or Mechanical engineering with business
