About This Opportunity

  • This role provides an opportunity to support the Department Head and team as an Administrative Assistant – Zone Europe.
  • The successful candidate will have the chance to manage administrative tasks, prioritize commitments, and coordinate the agenda of the Department Head.

A Day in the Life of an Administrative Assistant

  1. Efficiently manage general administration activities: anticipate and prioritize incoming mail, prepare meetings/information as required, and ensure timely follow-up (i.e., correspondence, minutes, presentations, etc.).
  2. Support team initiatives and projects by providing administrative assistance and coordination.
  3. Coordinate and manage the agenda of the Department Head, including scheduling meetings and appointments.
  4. Organize and coordinate leadership team meetings, special events, workshops, and conferences.
  5. Manage travels and process travel expenses according to company policies.
  6. Develop and maintain content on digital platforms, such as SharePoint and workplace groups, and contribute to innovative solutions.
  7. Act as a 'super-user' for the deployment of new Nestlé solutions (IT/office tools, processes, and policies).
  8. Maintain accurate records and reports, including department budget management.
  9. Coordinate the new employee arrivals and departures process.

Key Skills and Qualifications

  • Confirmed experience in a similar role supporting leaders and teams is essential.
  • A self-starter with high ownership over completion is required.
  • Ability to work in a multinational and complex environment is necessary.
  • Flexible and agile with the ability to engage with stakeholders at all levels is crucial.
  • Collaborative and service-oriented with good communication and organizational skills is vital.
  • Multi-tasking capabilities are essential for success in this role.
  • Digital savvy with Nestlé digital platforms (SharePoint, intranet) and proficiency in MS Office, SAP, and Concur are required.
  • Fluency in English and French is necessary for effective communication.
