Team Lead Enabling Support Specialist

We are seeking a highly skilled and experienced Team Lead Enabling Support to join our team at Roche Services & Solutions (RSS) in Kaiseraugst. As a key member of our administrative team, you will provide primary support to the Head of RSS and senior managers, as well as oversee the Enabling Support Team.
Key Responsibilities- Act as a line manager and provide coordination, oversight, development, and guidance to the Enabling Support Team (approximately 5-7 Administrative Assistants) within RSS.
- Work directly with other Administrative Team Leads and Chapter Lead Administrative Assistants to foster communication and collaboration, and improve internal processes, procedures, or systems.
- Establish a framework and oversight of general onboarding activities within RSS, ensuring the Support Team provides consistent and aligned support for the management of new joiners, changes, and leavers.
- Create, drive, and implement administrative policy changes within the administrative function, and participate in cross-functional and other project teams and initiatives.
- Proactively manage and make independent decisions regarding priorities of multiple calendars, plan, schedule, and coordinate meetings, teleconferences, and video conferences with the RSS Leadership Team and global colleagues.
- Coordinate global travel, arrange and follow through with onsite/offsite meetings, including large RSS Leadership meetings.
- Handle all logistics, including proactive coordination of content for meetings/activities, and work with outside vendors to create contracts and purchase orders.
- Relevant commercial diploma or similar educational background, and 5+ years of experience operating in a similar role.
- Strong people skills, with the ability to interact comfortably at all levels of the organization, including senior levels of the company.
- Excellent organizational and logistical skills, with the ability to navigate time zones, remote event coordination, and communication technologies.
- Ability to work effectively both independently and with a team, and to prioritize tasks and manage multiple projects.
- Fluency in English and German, both written and spoken.
