Administrative Assistant (Legal Team)

Job Summary:

We are seeking an experienced Administrative Assistant to join our Legal Team at Ascent Health Services Switzerland. As a key member of our team, you will provide administrative support to our legal team and Executive Assistant, handling a wide range of tasks, from event coordination to managing legal documentation.

Key Responsibilities:

  • Administrative Support for the Legal Team:
    • Facilitate the DocuSign process and update legal team files
    • Provide administrative support during projects
    • Support NDA management, invoicing follow-ups, and prepare ad-hoc reports
    • Assist with review of commercial items and execution of NDAs with Ascent stakeholders
    • Prepare expense reports for the legal team
    • Offer other administrative support as needed
  • Calendar Coordination: Manage and coordinate calendars for the General Counsel, Vice President, and other senior legal leaders
  • Event, Logistics, and Travel Coordination: Organize company events, domestic and international travel arrangements, internal meetings, and team events
  • Deputizing for other Assistants: During absences
  • Office Management Support: Assist with office management tasks as needed

Requirements:

  • Full proficiency in both German and English mandatory (both written and spoken, C1 level)
  • 2-5 years of relevant administrative experience, ideally within a legal team
  • Vocational degree in commercial education (KV or equivalent)
  • Strong skills in Microsoft Outlook, Word, Excel, and PowerPoint
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to handle sensitive information with discretion
  • Comfortable working in a fast-paced, international, and team-oriented environment
