International Office Manager

We are seeking a highly organized and detail-oriented International Office Manager to join our team at Exact Sciences International GmbH. As a key member of our global operations team, you will be responsible for creating a welcoming and efficient office environment, ensuring smooth day-to-day operations, and providing exceptional support to our employees and visitors.
Key Responsibilities- Establish and maintain a positive and productive office environment, ensuring all necessary resources and support are available to employees.
- Manage vendor relationships, including office supplies, mobile phone providers, and travel agencies, to ensure seamless operations.
- Act as the primary point of contact for office matters, including visitor management, security, and access control.
- Develop and implement processes to manage day-to-day office life, including logistics, training, and onboarding of new employees.
- Partner with HR and employees to shape the office culture and ensure alignment with our corporate values.
- Organize internal events and celebrations, collaborating with team members to create engaging and inclusive experiences.
- Support management team with requests related to office space, environment, and space allocation.
- Provide administrative support to senior management and functions, ensuring timely and accurate completion of tasks.
- Assist with compliance with local and country-specific health and safety regulations, as well as Exact Sciences safety standards and corporate policies.
- Coordinate ergonomic evaluations, perform assessments, and provide recommendations and adjustments as necessary.
- Maintain office supplies and inventory within budget parameters, including emergency and first aid supplies.
- Promote a positive relationship with local regulatory authorities, as needed.
- Support the EHS Safety Committees, coordinating and facilitating safety meetings, capturing meeting minutes, and assisting with emergency response efforts.
- High School Diploma or General Education Degree (GED).
- 3+ years of experience in an administrative, hospitality, or office environment.
- Proficient with office equipment, including fax machines and printers.
- Basic computer skills, including Internet navigation, email usage, and word processing.
- Proficient in Microsoft Outlook, Excel macros, and pivot tables, and Word mail merge.
- Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
- Familiarity with Cloudgate or comparable Visitor Management System(s).
- Familiarity with SAP accounting and financial management.
