Job Description

CBRE Global Workplace Solutions is a leading provider of integrated facility management services. Our team in Switzerland is seeking an experienced Office Services Coordinator to join our growing Facility Management organization in the Pharma sector in Zürich.

Key Responsibilities:
  • Visitor Management: Welcome visitors to the client offices and provide professional support to customers, visitors, staff, and external third-party providers.
  • Day-to-Day Operations: Coordinate day-to-day office activities, ensuring a smooth and efficient work environment.
  • Technical Support: Provide first-level support to employees for AV, IT, and office-related topics.
  • Mailroom Management: Oversee mailroom activities, including incoming and outgoing letters, tracking activity, and courier services.
  • Health and Safety: Collaborate with the Area Facilities Manager to ensure compliance with health and safety regulations, including work permits, BCP, risk assessments, and accident/near-miss reporting.
  • Collaboration and Communication: Work closely with the handyman or technicians on site to ensure smooth day-to-day operations and coordinate switchboard activity, including inbound and outbound calls.
  • Administrative Tasks: Perform general office administration and inventory tasks as required.
Requirements:
  • Experience: Previous experience in office management, front-of-house, reception, or customer-facing roles is essential.
  • Administrative Skills: Strong administrative and communication skills, with a good working knowledge of Microsoft Office packages and IT literacy.
  • Language Skills: Fluent German is a must, with basic verbal knowledge of French and English also required.
