About the Role:

The successful Organisational and Planning Coordinator will join our team to manage the Visitor Services function, focusing on enhancing Novartis' reputation among VIPs. This role requires exceptional organisational and coordination skills, excellent communication, and a deep understanding of our company's strategy.

Main Responsibilities:

  • Develop and execute visitor programs to meet the needs of country organisations, business units, and senior management.
  • Collaborate with Basel Tourism to plan and coordinate BT Guides.
  • Elevate the quality of visitor experiences through research labs and production site tours.
  • Maintain exceptional service quality and client relationships by liaising with hosting functions.
  • Organise events like the 'Basler Maturapreis der Novartis'.
  • Ensure seamless visitor check-in through coordination with the Main Gate and Visitor Registration tool.
  • Manage the Novartis Visitor Services Inbox and develop the Visitor Services Homepage.

Key Performance Indicators:

  • Satisfy clients, especially senior management, through regular feedback.
  • Enhance visitor satisfaction by actively seeking feedback.
  • Establish and maintain exceptional customer service.
  • Improve the quality of visitor programs, ensuring respect for subject-specific wishes.
  • Promote growth in visitor programs by increasing requests and events.
  • Provide proactive problem-solving support.

Required Skills:

A degree in Social or Business-related field or 10+ years of relevant experience.

  • Demonstrated people management skills.
  • Strong understanding of Novartis and its strategy.
  • Excellent communication skills in German and English (French is an asset).
  • Outstanding coordination abilities, particularly under pressure.
