Job Description Summary
Manage the Novartis Visitor Services function with the goal to improve the Novartis reputation with VIPs including politicians, ambassadors, government representatives, opinion leaders, financial institutions, MBAs, and NGOs.
Major accountabilities:
- Visitor coordination to Novartis Headquarters on behalf of country organizations, business units and senior management.
- Proficiency in planning & coordination of BT Guides in cooperation with Basel Tourism.
- Quality of the visitor programs consisting of presentations and visitor tours through research labs, production sites.
- Service quality and client management – liaise with Novartis functions hosting and organizing group visits.
- Organization of: "Basler Maturapreis der Novartis".
- Interface to Novartis Main Gate coordinating flawless visitor check-in (Visitor Registration tool).
- Host the Novartis Visitor Services Inbox and manage the Visitor Services Homepage.
Key performance indicators:
- Satisfaction of clients, especially senior management – provided by regular feedback.
- Satisfaction of visitors – proactively ask for feedback.
- Establish & maintain excellent customer service.
- Quality of visitor program – full respect for subject-specific wishes regarding visitor programs.
- Growth of visitor programs as shown by rise in number of requests & events.
- Provide proactively problem-solving support.
Minimum Requirements/Skills:
Social or Business-related degree or 10+ years' experience.
- People management skills.
- First-class understanding of the company and its strategy.
- Excellent communication skills verbal, written and electronic in German and English (French, helpful).
- Outstanding coordination skills, especially under pressure.
