Mentoring Program Manager (Flex)

Overview & Purpose

Médecins Sans Frontières is a globally recognized, independent medical and humanitarian organization dedicated to providing assistance to individuals in distress, particularly those impacted by natural disasters, conflicts, or crises, without any form of discrimination (MSF Charter).

The core objective of the mentoring initiative within MSF OCG is to facilitate the personal and professional advancement of managers and coordinators, enabling them to realize their full potential. This initiative also aims to foster the professional and personal development of employees by enhancing knowledge, skills, and expertise through mutual learning among staff. This program aligns with the Strategic Plan, emphasizing that: "Employees are our most valuable asset."

The specific aims of the program include:

  • Offering mentoring assistance to managers and coordinators to bolster essential competencies.
  • Empowering mentees to enhance their own capabilities.
  • Creating opportunities for knowledge exchange within the organization through open dialogue and shared experiences.

As of late 2022, the program has been expanded to include a volunteer-based distance mentoring initiative, aimed at increasing diversity and accessibility. The program has rapidly evolved since its inception, with an expanding pool of mentors and a growing diversity of participants.

Key Responsibilities

Oversight of OCG's mentoring program, particularly in relation to distance mentoring

  • Identifying potential mentors.
  • Recruiting new mentors (including application calls, screening, induction/interviews, and managing the validation process).
  • Ensuring the training and onboarding of mentors (organizing mentoring workshops, monitoring availability, and conducting pre- and post-workshop communications).
  • Supporting and guiding mentors throughout the mentoring process.
  • Managing the matching process between mentors and mentees (handling requests, facilitating introductions, and monitoring relationships).
  • Defining and ensuring the program's monitoring and evaluation processes.

Enhancing visibility and understanding of the mentoring program

  • Promoting the mentoring initiative across OCG to engage potential participants and key stakeholders.
  • Collaborating with all departments within OCG to enhance their understanding of the mentoring program and facilitate mentoring activities in their respective regions.
  • Developing and/or adapting existing communication materials to promote the mentoring program.

OCG's representative in intersectional forums related to mentoring

  • Participating in mentor program meetings and working groups with counterparts from other sections.

Collaboration and support for L&D OCG activities

  • Engaging in L&D meetings.
  • Providing support for L&D OCG activities as required.

Mentoring, coaching, and training across various missions and projects (50%)

  • Conducting mentoring sessions (both blended and onsite).
  • Facilitating various training sessions based on identified competencies and needs.

Short-term gap-filling for field positions

  • Providing temporary coverage for field roles as needed.
Candidate Profile

Education

  • Degree in project management or a related field.
  • Training in mentoring, coaching, or training methodologies is advantageous.

Experience

  • Extensive experience with MSF in field and/or headquarters roles, including emergency response.
  • Prior involvement in complex, multi-layered projects.
  • Experience managing a mentoring program is beneficial.
  • Background as a mentor, trainer, or coach is a plus.

Skills/Technical Competencies

  • Strong mentoring and coaching abilities.
  • Proficient in team and project management.
  • Knowledge of pedagogy, group facilitation, and dynamics.
  • Excellent organizational skills.
  • Analytical skills with a proactive approach.

Language Proficiency

  • Fluency in English and French is required. Proficiency in either language and a basic understanding of the other is essential.
  • Knowledge of additional languages (such as Arabic, Portuguese, Russian, or Spanish) is considered an asset.
