Job Overview
We are seeking an experienced Executive Assistant to join our team. As a key member of our office, you will be responsible for providing administrative support to our management team.
Key Responsibilities:
- Office Tasks:
- Manage phone calls, take accurate messages, and arrange conference calls
- Collect and distribute mail
- Prepare documents for printing and faxing
- Maintain company policies and procedures
- Serve as a point of contact for guests and suppliers
- Process and record office expenses
- Handle confidential company information
- Assist and cover for other support staff when needed
Family Responsibilities:
- Coordinate travel arrangements for the family
- Prepare and reconcile travel expenses
- Organize filing systems for both personal and office use
- Manage properties and coordinate household staff
- Schedule medical appointments and maintain medical records
The role involves a range of tasks, and flexibility is essential.
Requirements and Qualifications:
- Fluent in English, Italian, and French (oral and written)
- Proven IT skills, including Microsoft Office products
- Previous experience working with senior leaders is beneficial
