For our Pharma client in Basel, we are currently looking for a Receptionist 

Start Date: As soon as possible

Contract Duration: 6 months with possibility of extension

Work Volume: 50% (20 hours per week), Monday to Friday. Mornings are preferred; however, once the individual is fully integrated into the role, there may be greater flexibility.

Position Purpose:

  • To provide assistance for all internal and external customers as one of the first points of contact within the company
  • To provide support for all FM functions

Reception Services:

  • To carry out normal Reception duties such as dealing with visitors and staff (issuing badges, maintaining visitors list, preparing materials for new staff, etc); organizing the company's incoming/outgoing mail (post and courier) as well as organizing the company's parking facilities; ordering taxis; and distributing travel documents and publications as necessary.
  • To carry out routine clerical tasks as assigned (operate a variety of standard office machines); to carry out word processing, filing, mailings etc as required; to assist in seminar preparations; to organize catering facilities
  • Telephone operation

Office security and HSE:

  • To assist with the BCC Security & Safety Concept, participate in any relevant training and perform the assigned tasks in an emergency or training exercise.

General services and administration:

  • To ensure stocks are replenished in good time (e.g. stationery, office supplies, etc) and assist with the procurement, storage and distribution of such items.
  • To report any complaints/repairs/requests to FM Support and follow-up on any incidents.
  • To support all FM functions whenever necessary.
  • To attend the Team Meeting regularly.

Work Interactions:

  • To present an appropriate image for the organization and deal competently with the people, situations and problems encountered in an efficient, professional and courteous manner.
  • To communicate and liaise between all internal and external customers (staff and service providers/suppliers/ visitors/enquirers); responding clearly and effectively to requests and instructions.
  • To establish and maintain effective working relationships with co-workers, supervisors and the general public.

Major Opportunities and Decisions:

  • To remain calm and polite in difficult situations i.e. when customers are dissatisfied.
  • To be prepared to pursue personal development of skills and knowledge necessary for the effective performance of the role.
  • Success is measured through the satisfaction of internal and external customers (visitors, staff and superiors).
  • As one of the first points of contact to both internal and external customers, the Receptionist represents the company and is generally the first impression a visitor or member of staff has of the company, so all decisions relating to their appearance, behaviour and performance are important. Compliance of the dress code guidelines is required.

Background:

  • Hotel Management training or similar
  • Languages English, German are mandatory, every other language is a plus
  • Computer skills, preferable hotel training
    Experience:
  • Preferred hotel training or similar service department
    Competencies:
  • Must be a team player
  • Excellent communication and organizational skills
  • Able to work accurately, quickly and neatly
  • Able to work without supervision
  • Good presentation, outgoing personality and a pleasant manner
