**Role Purpose**

A highly self-motivated and passionate team player with a great attention to detail.

The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and its clients. Providing services to the highest possible standards as well as representing the client and JLL values in appearance, presentation and manners.

You will take ownership and manage the front of house experience, help orient and settle new and visiting staff and support the facilities management team in providing a great workplace experience and provide the necessary support for business related events and community-based initiatives.

In this role, you will bring your people focused skills including strong stakeholder management and relationship building, continuous engagement and communications as well as your ability to proactively support the needs of our staff, clients and business partners. Your ability to proactively resolve queries and issues will be the cornerstone to your success in this role.

**What this job involves**

Customer Service:

- Responsible for and manage the Customer Experience services within reception and workplace and how it impacts all client employees and visitors
- Administration of parking spaces for visitors, employees (where applicable) Validate parking tickets and keep track of transactions on the statistics sheets.
- Arrange taxis for client staff and visitors as if requested
- Book Smart innovation Center and keep track on all reservations for internal and external customers. onsite meeting rooms and hospitality as per client requests and according to site procedures
- Order and manage catering requests for internal and external customer events held in the smart innovation centre and lobby area

HSE, Security & Quality:

- Liaise with site managing agent and site security. (no onsite security in CH offices)
- Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures, procedures for visits from local authorities as well as general Health & Safety
- Issuing of ID and access badges for new hires/vendors/visitors and maintaining record of same.
- Monitor and maintain office and badge consumables in line within agreed stock levels.
- Maintain the security sign-in book
- Maintain all relevant statistics, such as F&B, parking, forgotten badges, visitors, events.
- First point of contact for new starters, act as the first line of support for any concerns raised
- Understand & actively support JLL’s Quality Management program

Site Operations:

- Conduct daily meeting room and office checks as required by Workplace Manager (This is actually done by the facilities specialist)
- Prepare & serve hot beverages, layout & clear away catering as required
- Manage all the requests on the Facilities helpdesk and liaise with service providers (This is actually done by the facilities specialist)
- Handle/Assist with incoming and outgoing mail & courier enquiries according to the existing procedures
- Assist in coordinating the repair and maintenance of office equipment and in the ordering in of office supplies. (this is currently done by the facilities specialist)
- Keep accurate and update records of seating plan (This is actually done by the facilities specialist)
- Ensure accurate and detailed hand over is planned & passed on (for tasks for within responsibility), if absent from the business.
- Is responsible for the office key box, handing out/receiving physical keys and building access cards
- Register insider card for new hires, delete leavers.
- Minor tasks relating to the coffee maker in reception lobby.
