We are looking for a dynamic and motivated Exhibition Coordinator 100% for the organisation of our worldwide exhibitions to reinforce the team in Geneva.
**As an Exhibition Coordinator, your responsibilities would be**:
- Plan all event aspects and make sure that everything goes as planned while dealing with several exhibitions to be organized in parallel (collection of global information such as cancellation policies, key milestones, reservation schedule/costs/documents, shipment deadlines, etc.).
- Perform all exhibitions related tasks in accordance with the defined milestones and planning of each exhibition (from the collection of the exhibition-related information prior booking to the debriefing of the exhibition after its closing).
- Collect internal and external information to fill in and follow up the project documents/forms/templates (general information, booth requirements and specifications, RFQs, graphics information, communication plan, attendees, shipping order, exhibition guidebook, booth takeover, feedback form, costs consolidation, MoM, etc.).
- **Communication with internal stakeholders**
- **Local relays**: Collaboration with local Sécheron Hasler Group local entities to ensure efficient coordination and smooth communication with local suppliers and partners.
- **Sales & Marketing teams**: Collection and distribution of all elements needed for the preparation of the decision-making.
- **Attendees**: Collection of contact details and attendance schedule, Coordination of travel and accommodation, Preparation/distribution of nametags/badges, Sending of customer communication supports, Provision of the exhibition guidebook and booth takeover document, Collection of feedback and pictures after the exhibition.
- **Coordination of the exhibition concept, including booth location, size, layout, technics and graphics**:collection of the BUs needs and requirements (including customer communication targets, key messages, exhibited products, and specific constraints).
- **Coordination of graphics & customer communication support**: collection of information and documents, preparation of translation documents, Information to the graphic designer of schedules and provision of the needed elements for the support creation, and online publications.
- **Coordination of all logístical aspects**: collection of information and documents related to the shipment, preparation of transport orders, and communication with the forwarding department.
**Requirements**:
**For this position, you will ideally bring**:
- Exceptional organizational skills.
- Ability to handle multiple projects in parallel.
- Excellent communication and interpersonal skills - both written and verbal.
- Comfortable working in a multi-site organization.
- Outstanding vendor/supplier handling and negotiation skills.
- Ability to synthesise
- At least two to three years of experience in a similar position
- Fluent English (written and spoken, at least C1 level)
- Degree in Project Management, Event Organisation, Communication or Marketing
**Good to have skills**:
- Any other European language: French, German, Spanish, etc...
- Experience in Railway
