For our Product Development Department (PPD) we are opening the role of Team Lead Executive Support who will be accompanying us in the transformation journey. This is an exciting role at the cutting edge of interactions with many entities bringing dynamism and professionalism and also a great opportunity to manage a team of 3 Executive Assistants in their day to day activities and professional development

**Role and responsibilities**:

- Oversees, leads and manages the PPD Admin Site Team.

Team lead:

- Manage, train, coach and provide guidance to the admin site team
- Continuous improvement of local processes and ways of working
- Establish and maintain a need based, state to the art Service Delivery model for PPD

Executive Admin Support:

- Travel, expense and agenda management
- Organization, coordination, facilitation and agenda management of Leadership Meetings
- Prepare Business related communication, Organizational announcements and refine powerpoint presentations including graphics to be suitable for executive meetings
- Prepare and manage Townhalls
- General Administration Tasks and ad hoc requests

Meetings & Events:

- Plan and coordinates meetings, conferences, associated travel and all aspects
- Organise / co-ordinate the external meetings with the preferred provider and managing the logistics for the attendees throughout the event
- Participate in key leadership Meetings on a regular basis - preparing agenda, story line, taking points and follow up actions

Office Management:

- Champion and provide support to the team of new software rollouts / equipment requirements
- Lead on-boarding of new staff if required including the organisation of their laptop, desk phone, work area, phone, credit card, induction schedule and pass
- Point of contact for Facility Management and Health & Safety
- Office Layout planning. Coordination of office allocation and moves

**Educational background and experience**:

- bachelor’s in business administration or equivalent
- Experience in a similar previous experience
- Provides proactive, professional, and high quality comprehensive administrative support to the VPs, EDs, or SDs with limited support for the following teams if requested by VP, ED or SD.
- Due to the nature and pace of the business a high degree of confidentiality is expected as well as the ability to multitask and priorities the workload in high pressured environment.
- Must be able to manage a pivotal role within the team coordinating the various functions to ensure smooth operation.
- Provides leadership to a small team of highly dedicated professionals that support the PPD functions on site.
- Excellent office management and interpersonal skills are essential as are good organizational abilities, and the personality of a good team player.
- Strong communication, project management and stakeholder management focus.
- Works very closely with the global Business operations team as well as other admin support leads/ teams globally.
- Fluent in English, a 2nd language is an asset
