Let’s Talk about the Role
We are currently seeking a highly motivated and proactive Executive Administrative Assistant to join our Timberland team based in Stabio. The person will be in charge to support VP/GM Timberland EMEA and VP Global Apparel Timberland, together with ad-hoc support to the wider Leadership Team.
How You Will Make a Difference
**You will achieve this by**:
Perform a variety of administrative tasks and support VP/GM, including but are not limited to managing calendars, working on presentation decks, travel management and preparing expense reports.
Support GTM organization inter departmental activities during Season Launch.
Support in planning and managing Brand events, including sales, conferences, and employee social events.
Support the Leadership Team, when needed, in the organization of travels (in terms of: accommodation, booking flights, transfer arrangements ).
Facilitate guest visits including travel arrangements.
Maintain the VP/GM calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs.
When requested, attend key meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
Determine priority of matters of attention for the VP/GM; redirect matters to staff to handle, or handle matters personally, as appropriate. Keep the VP/GM and brand leadership team advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Provide assistance, in drafting and reviewing communications, memos on VP/GM’s behalf.
Skills for Success
Flexible and dynamic person, being able to work in a dynamic environment on a multitasking role.
At least 3 years of experience as a service / brand assistant & coordinator.
The role required to be well-organized, have great time management skills and be able to act without guidance contributing to the efficiency of our business by providing personalized and timely support to executive members.
Good communication skills, for welcoming and supporting the requests from internal employees and visitors.
Excellent interpersonal, written, and oral communication skills.
Excellent ability to build and maintain trusting relationships with peers and stakeholders.
Outstanding organizational and time management skills, creative and willing to take work independently.
Must have strong writing and review skills, skills in PowerPoint presentation and MS Office.
Must have English proficient knowledge.
