Career and Professional Development Project Coordinator

The European Society for Medical Oncology (ESMO) is looking for a Project Coordinator to join the Career and Professional Development Team reporting to the Career and Professional Development Project Manager. This is a full-time position based in Lugano, Switzerland.
The Career and Professional Development Team is responsible for coordinating the ESMO Leadership Development Committee and Young Oncologists Committee. Activities include the ESMO Fellowship Programme, Leadership Programme, Mentorship Programmes, YO4YO Virtual Session Series, as well as sessions at ESMO Congresses.
The Project Coordinator will support the Career and Professional Development Project Manager with the management of the Leadership Development Committee and Young Oncologists Committee to ensure the smooth and timely delivery of projects and other ad hoc projects as requested. The Project Coordinator will also work closely with other ESMO Departments e.g. Communication, Marketing, Web and Digital Services Team as well as communicating externally with members of the Committees. The Project Coordinator will be expected to attend meetings so should be willing to travel, and on occasion also work over weekends and public holidays.
THE ROLE:
Supporting the Career and Professional Development Project Manager with the management of the Leadership Development Committee and Young Oncologists Committee and the delivery of career and professional development programmes.
MAIN DUTIES AND RESPONSIBILITIES:
- Organise in person and online meetings, logistic arrangements, preparation of meeting material, taking the minutes for these meetings and ensuring all action points are completed.
- Carry out administrative tasks associated to the committees, including management of email boxes, maintenance of records and processing of payments.
- Coordinate projects related to the Committees, monitoring the progress and provide regular updates to the Project Manager to ensure timely delivery of projects.
- Assist in planning and organizing virtual and in person events, workshops, and meetings, including logistic arrangements, participant registration and on-site support, and creating post event reports.
- Coordinate application process for career and professional development programmes, including timelines, reviews and outcome notifications.
- Ensure webpages are up-to-date with details of programmes and activities.
COMMUNICATION:
- Excellent and effective communicator (in English) – written and spoken.
- Confident, polite, accurate and professional communication in writing, in person and on video calls.
- Effective and professional communication with the Committee Members, event participants and ESMO staff members involved in the activities.
EDUCATIONAL AND PROFESSIONAL EXPERIENCE:
- Degree or equivalent professional business experience.
- Any experience of working within or for a Scientific Society would be an advantage, as would experience within the healthcare sector.
SKILLS:
- Proficiency in Microsoft PowerPoint, Word and Excel is essential and familiar to using back office support systems e.g. payment systems. Data analysis skills including advanced Excel would be an asset.
- Fluent in English and ideally mother tongue (written and spoken) – other languages advantageous.
- Strong organisational and administrative skills are essential, along with the ability to convey clear and accurate information.
- Proactive/can-do attitude. A team player who tackles new assignments and looks for ways to improve. Able to move quickly between tasks and adapt to shifting priorities. Attention to detail is a must as well as accuracy and a willingness to learn.
