Job Description – Lobby Ambassador – FM Assistant
Job Summary
The Lobby Ambassador – FM Assistant will serve as the first point of contact for visitors and employees at the reception, ensuring a positive and welcoming experience for all. The position ensures that workspaces are well-maintained, optimally utilized, and provide a productive environment for employees and clients. This position's extension FM Assistant is also responsible for coordinating and overseeing a range of facility-related activities, including financial support, vendor management, and project coordination, directly reporting to the Facilities Manager. This role requires a high level of professionalism, a customer-focused approach, and good communication skills in German and English.

Responsibilities
  1. Welcoming and Greeting:
    Serve as the primary point of contact for all visitors and employees entering the lobby area.
    Provide directions, answer inquiries, and assist with general information about the premises.
  2. Site Operations Management:
    Manage work orders on the CMMS (Corrigo) by looking ahead to upcoming deadlines and due dates. Work with vendors to ensure correct WO paperwork is received and returned to maintain an auditable process.
    Be the point of contact and aid where necessary for projects that may have an impact on operational delivery, including CWA process for supplier management.
    Coordination, scheduling, follow-up, and satisfaction of maintenance and repairs activities.
  3. Access Control, Security, and Risk Management:
    Ensure the security and safety of the premises by monitoring visitor access and enforcing entry protocols, including visitor registration and badge issuance.
    Follow established escalation procedures and incident reporting procedures.
    Ensure compliance with Jones Lang LaSalle minimum audit standards, best practices, policies, and procedures.
  4. Finance Management:
    Ensure prompt and accurate management of purchase orders in JLL’s financial platform.
    Support Facility Manager in initiating and managing purchase orders.
    Assist Facility Manager with financial reporting and forecasting.
