About the position


Under direction of the Consul, this position is responsible for the efficient and effective operation of the Consular and Passports Section at the Australian Consulate-General in Geneva.

Working in conjunction with the Australian Embassy in Bern, the section advises and assists Australian citizens who require consular assistance in Switzerland and Liechtenstein.


The key responsibilities of the position include, but are not limited to:

  • Manage a small team providing consular, passports and notarial services to Australian citizens in Switzerland and Liechtenstein, in accordance with Australian Government guidelines and legislation.
  • Manage consular cases and provide on the ground assistance to consular clients, including, but not limited to prison and hospital visits.
  • Serve as an escalation point on highrisk cases. Provide advice to staff on complex consular and passport cases and report to Canberra in a timely manner.
  • Operate passport and consular database and filing systems and maintain stocks of financial and accountable documents in accordance with regulations.
  • Develop and maintain a range of key contacts and build strong working relationships with relevant stakeholders, including within the Swiss and Liechtenstein Governments, local authorities, diplomatic missions and service providers.
  • Assist in drafting periodic reviews of the Travel Advice.
  • Plan and manage consular responses to significant consular event and crises in countries of accreditation, including contingency planning exercises and crisis preparedness advice.
  • Manage and update consular and passport information on the official website, including consular fees and travel advisories, and the Facebook social media platform
  • Manage the Passport and Notarial appointment system and telephone messaging system.
  • Undertake the role of Elections Officer for Australian Federal and State Elections.
  • Assist with organising consular events, including Anzac Day.

Qualifications/Experience

  • Ability to manage a small team and demonstrated experience working in a client service or similar role.
  • Sound interpersonal skills and the capacity to build productive working relationships with a broad range of clients and key stakeholders, and an ability to assist people facing difficult and sensitive situations.
  • Excellent judgment, resilience and the ability to exercise discretion and respond effectively to challenging and unforeseen events and crises.
  • Ability to manage competing priorities and work flexibly, afterhours and on weekends where necessary, to meet time sensitive deadlines.
  • Ability to acquire a sound working knowledge of the guidelines, policies and legislation governing the provision of consular and passport services, including the Privacy Act; Consular Fees Act; and Vienna Convention on Consular Relations.
  • Sound understanding of Swiss and Liechtenstein local law and customs, government agencies, local authorities, the judiciary, and social services.
  • Welldeveloped written communication skills for drafting reports and correspondence to Canberra and clients.
  • Ability to publish social media content.
  • Language skills: Fluency in written and spoken English mandatory. Fluency in French and German is desirable.
