For our client, an international financial institution with an excellent reputation in Basel, we are currently looking for a reliable Administrative Assistant 60% who is able to start on short notice on a 7 months temporary contract with possibility for extension. For this role, experience in office management, business administration or similar is a must.
Description
Administrative support:
- Organising and coordinating all logistical aspects of management/staff meetings and events, both internal and external.
- Maintaining the intranet and SharePoint information and related documentation
- Responsible for documenting, monitoring, and improving administrative processes and services. Maintaining records using the standards and tools available.
- Handling routine office tasks - eg mail, calls, internal and external requests.
- Contributing to the management of the teams mailbox.
Planning:
- Supporting the coordination on internal audit, operational risk, and other recommendations follow-up.
- Coordinating and ensuring timeliness and completeness of information in the resource management platform.
- Reviewing and reporting to the direct management
Security:
- Contributing to awareness and support to travellers on security-related topics.
- Supporting credential checking activities.
Profile
- Minimum 3 years of experience in office management or business administration
- Commercial apprenticeship or equivalent
- Proficient user of MS-Office
- Fluency in English (C1 level), French or German knowledge is a plus
- Team player with good communication and interpersonal skills
- Discreet personality with very good organisational and time management skills
