Job Description

  • Supporting the Project Director and the entire project team
  • Creating/revising documents; converting files/templates into other formats inclusive support and assistance
  • Creating reports, meeting minutes, and presentations
  • Support Document management in PIRS: Document and in internal and external systems incl. creating reports on receipt, dispatch, and status
  • Coordination with the project site team
  • Distributing project tasks and monitoring them using reports
  • Sending and/or requesting documents internally and from customers
  • Internal correspondence (DEFI) independently and according to keyword/template
  • Independent creation, training, and monitoring of project-related internal processes, instructions, and documents
  • Content management of the intranet page for the project incl. uploading various documents
  • Organizing meetings/events/workshops and reserving meeting rooms/locations incl. catering
  • Create travel requests, organize business trips, including visa application
  • Expense reports of Project Director
  • Induction of new employees to PIRS
  • Deputizing for other (project) assistants
  • General administrative work
  • Is aware of the HSE requirements relevant to the function, implements, and complies with them

  • Experience and interest with working on projects
  • Able to manage comparable activities
  • Logical thinking and solution-oriented approach (experience with the use of simple methods)
  • Able to take responsibility and make decisions independently
  • Contributes to the achievement of the project's objectives
  • Experience in planning travel, workshops, appointments
  • Experience in multicultural working environment
  • Service-oriented and team player

Qualifications

  • Very good knowledge of MS Office
  • Understanding of databases (Lotus Notes & PIRS / experience in a similar function)
  • Very good knowledge of English, French, and Italian, German is an advantage
  • High IT affinity and strong organizational skills
