Tasks


We are seeking a proactive and organized Executive Assistant to provide comprehensive support to our CoFounder and Head of Sales.

You will play a pivotal role in ensuring smooth operations and facilitating effective communication within our dynamic team and external clients.


Responsibilities:

  • Provide high level administrative support to the CoFounder and Head of Sales.
  • Manage and organize complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit documents, presentations, and reports for internal and external distribution.
  • Attend meetings with senior management, take accurate minutes, and follow up on action items.

  • Handle confidential information with discretion and professionalism.
  • Assist with project management tasks, including tracking deadlines and deliverables.
  • Anticipate needs and proactively solve problems to ensure smooth operations.
  • Collaborate with other team members to ensure efficient workflow and communication.

Requirements:

  • 13 years of proven experience as an executive assistant or similar role supporting senior executives.
  • Proficiency in English and German (native speaker) is essential, with additional languages such as French considered a significant advantage.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and with mínimal supervision.
  • Discretion and confidentiality in handling sensitive information.
  • Positive attitude and adaptability to changing priorities and deadlines.
  • Ability to work most days from our office in Seefeld Zurich but have the flexibility to travel within and outside Switzerland when required. Having a GA travel card is an additional plus
  • Previous experience in a startup or fast paced environment is a plus.
