Job Purpose

This position reports directly to the Country Lead Switzerland and Austria. This role plays a pivotal part in providing comprehensive support and coordination across multiple areas and business entities. It serves as a reliable point of contact for department, internal and external stakeholders, and international colleagues.

The role involves responsibility for ensuring workflow efficiency, managing orders (POs), preparing presentations, undertaking administrative and logístical responsibilities, and providing support to the Commercial Team (Switzerland and Austria).

Key responsibilities

Support to the Commercial Team and Basel-based entities

  • Provide support to customers and effectively respond to their inquiries.
  • Liaise with internal and external customers to resolve issues and respond to requests.
  • Update stock reports, assist in tracking safety stocks and support OOS declarations
  • Manage the opening, closing, or transfer of customers with our 3PL.
  • Manage department budgets, in collaboration with our financial partners.
  • Create and manage the purchase order (PO) function for the department(s).
  • Liaise with our financial partners to ensure alignment on figures.
  • Recognise invoices in the financial system and collaborate with our financial partners to ensure timely payment, filing, and archiving

Office Management:

  • Oversee office operations, reception management, space utilization, office supplies, administrative documents (collection from various / signature collection, courier services, notary notifications )
  • Coordinate service providers and facility management for smooth office functioning.
  • Maintain professionalism in managing office systems, including telephone and mail.
  • Support backoffice functions and ordering of necessary supplies.
  • Handle incoming and outgoing mail and packages, including forwarding, and tracking deliveries
  • Assist in the on/off boarding process for employees, including setting up workstations and providing necessary resources
  • Employee benefits management (i.e. Lunch check card management)
Required qualifications and skills

  • A degree in a relevant field or equivalent experience.
  • At least 35 years of experience in a business support or similar office management role, ideally in the pharmaceutical industry.
  • Language skills: Fluent in French, German, and English, both spoken and written.
  • Professional proficiency in the MS Office Suite.
  • Experience with CRM and ERP systems.
  • Desired experience in data management.
  • Team spirit, high adaptability, and sense of organisation.
  • Respect for professional ethics, particularly when managing sensitive data.
  • Good communication and customer service skills.
  • Ability to work independently and take initiatives.
  • Strong focus on detail and quality.
  • Ability to manage multiple tasks at the same time and meet deadlines.
