In this role you will not only provide personal assistance and support to the Group Head Total Rewards (GHTR) but also be responsible for administrative day-to-day tasks and be asked to work independently and proactively to support the GHTR. Furthermore, you will have the opportunity to demonstrate your project management skills in participating or leading ad-hoc projects.

What you will do

 

  • Act as a trusted advisor to our Group Head Total Rewards
  • Provide proactive and efficient administrative support to the GHTR such as invoice/expenses processing.
  • Take ownership for ad-hoc projects, initiatives and communications on behalf of the GHTR as appropriate and lead them independently ensuring deadlines are met and objectives are achieved.
  • Be the key administration point of contact for the GTR office, and interact with stakeholders in person, by phone and by e-mail efficiently, promptly and accurately.
  • Manage the GHTR’s calendar proactively, anticipate the needs and resolve issues accordingly.
  • Lead on the setting up of senior critical meetings as needed e.g. Remuneration Committee preparation meetings, Global Pensions Committee, Pension Trustee meetings etc.
  • Plan any business travel and organise/coordinate the necessary agenda, briefings and documents needed while travelling.
  • Lead on oversight & co-ordination for the GTR Budget.
  • Manage and coordinate all governance and operational aspects of the GTR LT and Total Reward Executive Team (TRET), e.g. management of meetings/workshops, calls and follow up actions.
  • Create and edit monthly reports on Group LT changes and communicate to the Board office changes (monthly) to ensure accuracy of information on the Zurich Group Intranet.
  • Professionally help design and develop MS-Office material (i.e. PowerPoint presentations, Excel files and graphics) for regular and ad-hoc meetings, discussions, training sessions etc.
  • Support Group HR EA's during periods of PTO and absences.

 

 

What you bring

 

  • Commercial Business school diploma, KV or equivalent
  • 5 or more years of experience as an Executive Assistant
  • Strong proactiveness
  • Excellent planning and organisation skills
  • Effective communication skills and good client-orientation are very important
  • Experience in structuring and prioritizing work in an international team environment
  • Fluency in English, German is an advantage
  • Empathy, discretion and capable of handling highly confidential and sensitive information
  • Ability to develop and maintain effective working relationships with multiple stakeholders from various cultural backgrounds
  • Dynamic and accountable way of working with a mindset of thinking ahead
  • Strong MS Office skills
  • PMO or Project Management experience is an advantage
