Zur Ergänzung unseres dynamischen People Experience Team suchen wir ab 20. Mai oder 3. Juni 2024 oder nach Vereinbarung einen People Support & Office Coordinator (m/w/d) 60%.

Hauptaufgaben:

Verantwortlich für das Office Management; Materialverwaltung, Koordination von Besuchen, diverse Aufgaben im Zusammenhang mit dem Facility Management, Verwaltung von Reiseprospekten, Organisation von Treats und Events für Zürich und Unterstützung bei der Organisation für Belgien und Norwegen. Ansprechpartner für kleinere IT-Angelegenheiten vor Ort, Einrichtung von Arbeitsplätzen, Schnittstelle zu IT London, Bestellung und Verwaltung von technischem Equipment Unterstützung bei der Koordinierung von Renovierungsarbeiten im Büro (je nach Bedarf) Bürobeschilderung und Branding Verantwortlich für die Postbearbeitung Sicherstellung der Einhaltung der bewährten Praktiken im Bereich Gesundheit und Sicherheit am Arbeitsplatz Führung der Kommunikation mit den Vermietern und ihren Vertretern in allen Gebäudeangelegenheiten, einschließlich Notfallarbeiten Verwaltung des Zugangskontrollsystems für das Büro in Zusammenarbeit mit unserer Reception und Verwaltung von Ausweisen Verwaltung des Prozesses vor der Einstellung (PES) und Sicherstellung, dass alle Dokumente und Prüfungen für neue Mitarbeiter innerhalb der vereinbarten Fristen eingeholt und abgeschlossen werden Unterstützung in administrativen Belangen wie Spesenabrechnungen, diverse Korrespondenzaufgaben, Erstellen und Versenden des wöchentlichen Newsletters, Arbeitsbestätigungen, Arbeitszeugnisse, Unfall- und Krankheitsanmeldungen etc. Schnittstelle zur Finanzabteilung (Spesenabrechnungen, Rechnungen, etc.) Ansprechpartner für die Arbeit von zu Hause aus und Bereitstellung der erforderlichen Ausrüstung Ablage von Dokumenten

Anforderungen

Eine abgeschlossene kaufmännische Ausbildung (oder gleichwertig) 2-3 Jahre Erfahrung in einer vergleichbaren Position in einem internationalen Umfeld, Erfahrung in der Tourismusbranche von Vorteil Sie beherrschen die deutsche Sprache fliessend in Wort und Schrift und verfügen über sehr gute Englischkenntnisse Hohes Verantwortungsbewusstsein Selbständige, belastbare und begeisterungsfähige Persönlichkeit Dynamische, flexible und organisierte Arbeitsweise Dienstleistungsorientiert und kommunikationsfähig Hands-on-Mentalität und Freude an Herausforderungen Stelle ist vor Ort (kein Homeoffice) Arbeitstage und -zeiten sind flexibel und können mit dem Personalleiter abgesprochen werden. Mittwoch und Donnerstag sind Pflichtarbeitstage.
