Team Assistant, Global Partner Business

Vifor Pharma is currently looking for a Team Assistant to the Head of Global Partner Business. The role is based in Glattbrugg. You will effectively support the Head of Global Partner Business and the HQ Partner Business team in administrative tasks, organization and coordination of activities. You will manage communication between senior executives and employees, liaising with internal and external executives on various projects and tasks. Your tasks and responsibilities will be the following, but not limited to:
**Responsibilities**
- Administration, organization and coordination of Global Partner Business team
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
- Perform administrative and office support, such as typing, spreadsheet creation, and maintenance of filing system and contact database
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Handle and monitor purchase orders, invoices, agreements.
- Organize team communications and plan events, internally and offsite
- Assist of new joiners
- Transparency reporting for 3rd parties
- Routine as well as daily ad-hoc tasks
- Deputy for work colleagues / executive assistants

**Tasks**
- Provide office support to the Global Partner Business, in particular to the Head Global Partner Business as well as the HQ Partner Business team, in all administrative and organizational matters
- Manages calendar of Head Global Partner Business
- Coordination of local and international meetings including agenda planning, logistics, catering and equipment needs, accommodation
- Travel, visa arrangements and expense reports
- Timely processing of purchase orders, invoices and agreements
- Prepare documents (letters, minutes, resolutions, minutes, reports, presentations, policies and regulations)
- Handle and collect efficiently documents and signatures required by the team members (agreements, power of attorneys, etc) and keeps track of such documents
- Handle notarisations and legalizations for corporate documents
- Transparency reporting with 3rd parties
- Acts as interface between team members and clients when required
- Guidance and orientation to new team members, preparation of onboarding program
- Exchange and interaction with internal and external stakeholders and services providers

The knowledge and skills necessary to perform the duties of this position are typically acquired through the following combination of education, experience and knowledge, or the equivalent.**Preferred Requirements**
- 10 years’ experience in administrative role reporting directly to senior management
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems (SAP and Apttus is a plus)
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Ability to keep company confidentiality
- Ability to pay attention to detail
- Organization skills
- Interpersonal skills
- Excellent written and verbal communication skills in English (German is a plus)
