**Responsibilities**:

- Serve as a key liaison to employees, vendors, visitors, building landlord, building security, other building service providers and local agencies during onsite visits
- Manage subcontracted services (e.g., janitors, first aid, safety, food/beverage vendors, IT support)
- Handle all building management and facilities issues ensuring all office requests are handled in a timely manner
- Manage day to day activities in the Rapperswil office, including planning and scheduling of business meetings, booking meeting rooms, conference calls and events
- Act as Health and Safety representative for the facility and adhere to required guidelines and procedures, with special attention to the COVID-19 Swiss regulations in place
- Provide general administrative support such as managing office supplies and equipment, answering phones, mailing, filing and photocopying
- Create efficient office procedures, filing systems, reports and record keeping methods, as necessary
- Manage office expenses, including validating invoices against quotations, and process invoices for payment in collaboration with the Finance department
- Ability to take on additional tasks, projects and requests (as needed)

**Education/Experience Requirements**:

- Bachelor’s degree preferred
- Proficient user of MS Office Package
- Fluent in High German, (possibly Schwyzerdütsch as well) and English, another European language would be desirable

**Additional Skills and Experience**:

- Experience in a regulated start-up environment with a European footprint will be favored
- Minimum of 3-5 years of office administration experience; Facilities and HR experience preferred
- Proven ability to operate independently with initiative and mínimal supervision
- Positive attitude, courteous and voluntarily helps with all employees, consultants, vendors and guests
- Energetic with the ability to multi-task and prioritize workload
- Excellent written and verbal communication skills
- Service-oriented and problem-solving skills with the ability to anticipate challenges
- Regularly works with time-sensitive and confidential information while exercising tact, diplomacy, and discretion in written and verbal communications
- Demonstrated intuition as a result of experience working through complex situations/issues
