Human Resources - HR Operations
Purpose
The Global HR Operations team strives to create and deliver a seamless and positive employee support experience across the entire employee lifecycle. The department supports the full life cycle of an employee, from on boarding right through to the exit process. The team also provides advice and guidance on absence management, performance appraisals, employee relations and maintaining employee well-being. We develop efficient and simple people processes and support the integration of our people platform, Workday. We deliver data that is useful and accurate to create people related strategies across the business. We collaborate closely with other departments within the Human Resources function including HR Business Partners, Payroll, Reward, Talent Acquisition and Talent & Development teams.
The HR function is responsible for supporting the Company to help shape the culture of the business, ensure the right people are in the right jobs and work with department heads and managers to ensure employees are productive and engaged.
Main Duties & Responsibilities- Support the Global HR Operations team to simplify and streamline HR processes globally and to contribute to the creation of solutions to improve service delivery.-
- Assist with onboarding of employees: issuing offer letters/contracts of employment, ensure background checks/medical checks are complete and obtain all required documentation. Coordinating the first day and conduct the HR inductions.- Production of correspondence for any changes to employee terms and conditions, including contracts of employment, changes to job title, reporting line and notice periods, transfers, flexible working letters, reference letters and confirming the completion of probationary periods.- Responsibility for maternity, paternity and parental leave administration processes and ensure that associated payroll processes are completed.- Monthly collation of data changes for payroll- Maintain and update electronic personnel record system (DIS) containing all employment-related information, HR tracker and various spreadsheets; enter data and maintain these accordingly.- Manage the HR Operations mailbox. Providing guidance on the people platform, Workday, various HR policies and guidelines as well as fielding queries.- Actively support the team in preparation for new workday releases through engaging in testing new configuration and troubleshooting the issues that arise.- Collaborate with other team members and stakeholders on a variety on global and local initiatives, including HR Business Partners, Payroll, Reward, Talent Acquisition and Talent & Development teams.- Updating the intranet pages including HR updates, policies and procedures, baby news and long service announcements.- Assist both the Global HR Operations Manager, the wider HR team and other functions with various ad hoc administrative tasks and data reconcilliation when required.Qualifications & Experience- 1 - 2 years’ experience of HR administration within a global team;- Experience in the collation of data for payroll;- Experience in maintaining HRM systems and operational HR processes;
Personal Attributes- Strong administration and organisational skills;- Strong written and verbal communication skills in German and English;- Ability to act in a confidential and sensitive manner;- Ability to work to time critical deadlines with accuracy and attention to detail;- Extremely computer literate, able to easily adapt to new systems and system changes;- Able to work independently and on own initiative within specified guidelines or processes;- Self-starter with a ‘can do’ attitude;- A strong desire to learn and impart knowledge;- Interest in working with people;
