Legal Operations Specialistm/f/d, Basel-StadtThe Legal Operations Specialist provides high-quality administrative and operational support to senior leaders within the Legal Department. As a key member of the Legal Services team, this role ensures the smooth execution of day-to-day back-office activities, supports collaboration with internal clients, and contributes to the enhancement and implementation of Legal Operations processes. The role also supports functional engagement, learning, and communication initiatives, helping build strong cross-functional relationships aligned with Legal Operations objectives and company valuesYour Tasks:Provide administrative and executive support to senior leaders in the Legal Department.Manage calendars, recurring meetings, agendas, minutes, and meeting materials.Facilitate virtual meetings and handle internal/external correspondence.Oversee contract and document workflows, including signature coordination and filing.Maintain electronic and physical records, repositories, Share Point sites, and Teams folders.Support onboarding, training coordination, engagement activities, and communications.Manage travel, expenses, mail, courier shipments, facilities/IT queries, and event logistics.Draft, proofread, and prepare business correspondence and documentation.Contribute to process documentation and improvements within Legal Operations.Your Profile:Several years of administrative experience; legal or law firm experience preferred.Strong organizational, time-management, and prioritization skills.High attention to detail, proactive mindset, and strong ownership of tasks.Excellent communication skills and ability to work with diverse stakeholders.Proficiency in MS Office, MS Teams, Zoom, and Share Point.Ability to work effectively in international and multicultural environments.High discretion, confidentiality, and a service-oriented attitude.Tech-savvy and comfortable adopting new tools and digital processes.Fluent in English; good German skills strongly preferred.Sounds like a great job?Then we look forward to receiving your complete application documents through our online application form.When applying by email, the sender agrees that his or her data will be used in accordance with our data privacy policy.Find more vacancies at:
