Trust Administration Specialist

For our esteemed client, a global trust organization based in Switzerland, we are seeking a Trust Administration Specialist.

We are currently in search of a driven junior or senior trust administration professional to enhance our Trustee team.

Trust Administration Specialist (80% - 100%)

A Trust Administration Specialist is accountable for the proficient management of a portfolio of trusts and corporate entities. Typically, a specialist will oversee between 50 to 80 such entities for around 30 distinct clients.

Key Responsibilities

Primary Duties:

  • Daily management of trust accounts
  • Addressing inquiries from clients, financial institutions, asset managers, legal advisors, trust officers, and the accounting team
  • Providing administrative and client-related assistance to management
  • Preparation of various standard documentation including Trustee and Board resolutions, Deeds of appointment, and Minutes of meetings
  • Supporting client procedures such as trust formation, bank account openings, and distributions
  • Drafting standard agreements including loan agreements, credit facility agreements, and share purchase agreements
  • Preparing for client meetings, including compliance assessments
  • Organizing, filing, and digitizing documents
  • Maintaining document files and database systems
  • Ensuring timely and accurate billing and reporting of fees
  • Safeguarding the proper handling, scanning, and filing of all original and sensitive documents in accordance with internal protocols
Qualifications

Education, Experience, and Knowledge:

  • Strong understanding of fundamental trust and corporate law, as well as administrative practices
  • Basic knowledge of investment and financial instruments
  • Understanding of banking products and their role in overall wealth management
  • Basic comprehension of accounting principles and their applications
  • STEP qualification is advantageous
  • A degree or professional qualification in Law, Business, Accounting, or a related field
  • A minimum of four years of experience in Trust, Banking, or legal sectors

Skills and Competencies:

  • Ability to analyze and assess basic investment summaries, accounting documents, and banking-related materials
  • Capability to determine appropriate actions for standard transactions and events in line with legal and administrative standards
  • Proficiency in identifying and anticipating risks in daily operations
  • Effective communication skills to present issues and potential solutions to management and team members
  • Willingness to collaborate and resolve issues with colleagues, management, and clients
  • Excellent verbal and written communication skills in English; proficiency in additional languages such as Russian, German, Dutch, or Spanish is a plus
  • Strong knowledge of MS Office applications (Word, PowerPoint, Excel, NavOne)
  • Self-motivated, well-organized, and adaptable
