Administrative Support for the CMS HGCAL Project

**Job Description:**

The CMS HGCAL project is a large-scale effort to develop and operate a next-generation particle detector for the CMS Experiment at CERN. As an Administrative Support Specialist, you will assist the project management team and the HGCAL community at CERN.

Key Responsibilities:
  • Schedule management meetings and CMS HGCAL weeks, take minutes, and send reminders for upcoming events and action items.
  • Assist in tracking deliveries, acceptances, income, and expenses related to project contracts.
  • Work alongside the Logistics Manager to oversee shipments, track parts moving between CERN and collaborating institutes, and manage inventory for detector components at CMS Point 5 and CERN.
  • Support the HGCAL Communications group by developing and maintaining documentation for onboarding and training new team members.
  • Generate reports on logistics, finances, meetings, and other project activities as needed.
Your Profile:

Proficiency in standard office software tools

Strong organizational and time-management skills, with the ability to handle multiple tasks simultaneously

Ability to work effectively in an international and multicultural environment

Spoken and written English, with a commitment to learn French

By the application deadline, you have a maximum of two years of professional experience since graduation in Business Administration (or a related field) and your highest educational qualification is either a Bachelor's or Master's degree.
