Overview
As a key team member at Incyte, the successful candidate will provide high-level administrative support to the Executive Director, Business Lead IAI, Region Europe. This role is responsible for managing the Executive Director's agenda, organizing business travel, and coordinating projects across various teams.
Duties and Responsibilities
- Manage the Executive Director's agenda, ensuring timely follow-up on tasks and appointments.
- Support the Executive Director during key events in Europe, providing logistical and administrative assistance.
- Organize business travel and coordinate meetings with stakeholders.
- Compile reports to track expenses, invoices, and budget allocations.
- Contribute to a culture of business integrity and ethics within the company.
- Ensure confidentiality, compliance, and adherence to company guidelines.
Project Coordination
- Organize IAI offsites, ensuring seamless execution and stakeholder engagement.
- Manage and control the budget allocated to the department, tracking expenses on POs and ensuring cost-efficiency.
- Co-manage communication within the department and Region Europe, promoting clear and consistent communication among team members and stakeholders.
- Manage team meetings, including organization, attendance tracking, and follow-up on actions.
- Coordinate weekly IAI team meetings and monthly BUD meetings.
- Lead quarterly Opzelura Brand Team meetings in partnership with the Morges Opzelura Brand Lead.
- Maintain comprehensive project documentation, including reports and plans.
- Engage with stakeholders to gather requirements, provide updates, and ensure two-way communication.
- Take on and lead ad-hoc projects as needed.
Requirements
- BA or equivalent by experience.
- 7+ years of experience working for a multinational company in a similar position.
- Excellent organizational skills, problem-solving abilities, and time management.
- Fluent in English and French; German, Spanish, and/or Italian are a plus.
