Job Overview

We are seeking a highly skilled and organized individual to fill the role of Team Assistant. As a key member of our support team, you will provide exceptional administrative support to our team members.

Key Responsibilities:

  • Scheduling and Calendar Coordination: Manage meeting setups, scheduling conflicts, and conference room organization to ensure seamless communication.
  • Administrative Support: Assist with office organization, supply ordering, equipment management, and other tasks to maintain a smooth work environment.
  • Correspondence and Communication: Filter and respond to basic supplier inquiries, direct messages to relevant contacts, and manage routine communications.
  • Data Management: Update records, compile data for reporting, and manage internal databases to ensure accurate and up-to-date information.
  • Travel and Expense Support: Assist with travel arrangements, manage Concur submissions, and track expense reporting to ensure compliance and efficiency.
  • Meeting Preparation: Prepare documents, compile agendas, and follow up on action items to ensure successful meetings.

Qualifications:

  • Experience as a Team Assistant or equivalent, including Scheduling and Calendar Management.
  • Excellent language skills in English and German.
  • Proficiency in MS-Office, including PowerPoint and Outlook.
  • Strong organizational skills with attention to detail.
  • Flexibility regarding simple tasks and ability to work on-site without regular home office.
