We are looking for a dedicated and efficient Executive Assistant to serve as the right hand of our Vice President of Global Operations and Sales and our dynamic Sales team. This role is pivotal in ensuring the smooth operation of our company's executive wing, blending administrative prowess with HR acumen. Reporting directly to the Vice President of Global Operations and Sales, the ideal candidate will be a cornerstone of professional support, embodying our values of teamwork, customer focus, and result-oriented performance. Multilingual proficiency in English and German is a must, with Swiss-German being a strong advantage.

Tasks
  • Provide comprehensive administrative support to the Vice
    President of Global Operations and Sales, and the Sales team, ensuring
    efficiency and organizational excellence.
  • Act as a first point
    of contact, managing communication and correspondence with internal and
    external stakeholders with discretion and professionalism.
  • Organize and maintain schedules, appointments, and travel arrangements to optimize time management.
  • Assist
    in the preparation and follow-up of meetings, presentations, and sales
    reports, ensuring high levels of accuracy and detail.
  • Coordinate
    HR-related activities, including but not limited to, recruitment
    support, employee onboarding, and maintaining HR records, applying an
    understanding of HR principles to support the team effectively.
  • Facilitate
    the smooth operation of daily office functions, from managing supplies
    to overseeing general administrative tasks, ensuring a productive work
    environment.
  • Engage in continuous learning to quickly grasp
    company processes, products, and services to enhance support and
    contribute to projects as required.
Requirements
  • Proven experience as an Executive Assistant, preferably with exposure to HR tasks and supporting senior-level executives.
  • Fluent in English and German, both written and spoken; proficiency in Swiss-German is highly desirable.
  • Exceptional
    organizational and time management skills, with the ability to
    prioritize tasks effectively and meet tight deadlines.
  • Strong interpersonal skills, capable of building and maintaining professional relationships at all levels of the organization.
  • Professional, hands-on approach, with a commitment to high standards and continuous improvement.
  • A team player with a self-going attitude, able to work independently and collaboratively.
  • Detail and result-oriented with a customer-focused mindset, ensuring all tasks are completed to the highest quality.
  • Quick learner, able to adapt to new challenges and responsibilities with enthusiasm and initiative.
