What you do here
Reporting directly to the CEO, the Executive Assistant provides executive, administrative and development support to the CEO and the Leadership team. Acting as a liaison to the Leader team, the executive assistant is responsible for organizing and coordinating executive outreach and external initiatives, as well as overseeing special projects.
Executive Assistant to CEO and Leadership Team
Responsible for administrative set up of DIS business cycle.
Manage CEOs' agenda and coordinate CEOs' travel schedule.
Ensure reporting of CEO expenses in collaboration with Controlling.
Ensure systemized documentation of key information and processes essential to the business.
Support CEO in ad-hoc requests.
Be the first point of contact for requests towards CEO.
Integrate Leadership Team for all meetings and period calls; ensure and drive follow up on key deliverables and action points.
Communication
Record, structure, summarize and communicate meeting minutes.
Establish and maintain continuous internal communication within the department.
Connect the Headquarter to the regional organizations.
Assist in preparation of meeting decks and management reports.
Communicate directly with external parties on behalf of the CEO and the Leadership Team.
Assist CEO in communication with factories around Europe.
Project Management
Organize and manage division events independently.
Act as PMO in projects with CEO involvement.
Assist and drive key projects and strategic initiatives which are part of the Project Portfolio Stream according to need and interest.
Provide executive support in ongoing strategic projects led in Asia.
Sparring Partner for CEO
Act as a sounding board between the Executive and the Leadership Team.
Represent the Executives admin office in line with company's leadership values, occasionally providing strategic counsel.
Provide business support regarding reports, proposals, summaries, and presentations on key strategic initiatives.
When you fit in with us
Master university degree in business management.
Experience in the FMCG industry.
Previous experience in events organization.
Mandatory knowledge about Lindt internal processes and standards.
Previous exposure to multicultural environment (with a focus of Asia)
Advanced knowledge of Microsoft 365 and especially Microsoft Excel and PowerPoint.
Native proficiency in English and French, both written and spoken skills.
Functional proficiency in Mandarin.
General global understanding of how a manufacturing company operates.
Discretion and confidentiality.
Advisory and consultancy mindset, including good communication skills.
Strategy and business focus by understanding the business and providing suitable recommendations.
