Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 100 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyzes action and increases global awareness to reduce disaster risk working with UN Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community. These positions are located in the Office of Human Resources Management and throughout the Secretariat and missions. The Human Resources Assistant at this level usually reports to the Chief of a Unit/Section.

The position is part of the Human Resources Unit, in the Resource Planning and Management Section of the United Nations Office for Disaster Risk Reduction (UNDRR) in Geneva, Switzerland. The incumbent reports to the Human Resources Officer, under the overall supervision of the Chief of the Resource Planning and Management Section.

**Responsibilities**:
Under the supervision of the Human Resources Officer, the incumbent:
RECRUITMENT AND PLACEMENT:

- Assists in the filling of posts, including initiating and following-up on reference checks and academic verifications, ensuring the completion of the pre-recruitment formalities, calculating salaries and related benefits, and preparing and dispatching offers of appointment and Statement of Emoluments.
- Maintains vacancy announcement files and tracks status of vacancy announcements.
- Prepares agenda and provides relevant documentation required for recruitment related meetings.

ADMINISTRATION OF CONSULTANTS AND INDIVIDUAL CONTRACTORS:

- Reviews the terms of reference of selected consultants and ICs and proposes the appropriate remuneration level based on the prevailing rules; Raises shopping carts in Umoja for CIC; Raises the service entry sheet and follow up with UNOG and other service providers for the payments.
- Provides guidance and support to regional offices on the processing of consultants and ICs for their region.

STAFF DEVELOPMENT AND CAREER SUPPORT TRAINING:

- Assists in the organization and conduct of training courses and workshops.
- Provides logistics and administrative support to trainers.

CLASSIFICATION:

- Assists in reviewing and processing requests for classification.
- Provides advice and answers general queries on classification procedures and processes.

GENERAL:

- Provides general office support services; drafts and/or processes a variety of correspondence and other communications.
- Sets up and maintains reference files/records (electronic and paper).
- Schedules appointments/meetings, monitors deadlines, etc.
- Undertakes research on a range of HR related issues and assists in the preparation of notes/reports.
- Maintains automated database containing HR related statistics and prepares periodic reports.
- Assists in the preparation of necessary documentation for distribution to various offices, departments and overseas offices.
- Performs a variety of administrative duties (e.g. leave recording, request for office supplies and equipment, etc.).
- Liaises with UNOG and other service providers for contracts extensions, personal actions related to staff movements, onboarding and separations/exit procedure.
- Advises staff members on their benefits and entitlements. Acts as senior time administrator in Umoja; corrects staff members' leave records if necessary.
- Assists in the monitoring of UNDRR compliance with performance management; provides training and guidance on the performance management system and answers related queries from staff and supervisors.
- May provide guidance/training to less experienced staff.
- Performs other duties as required.
