**Receptionist - (f/m/d) - (temporary/1year)**

**PURPOSE**:

- To provide assistance for all internal and external customers as one of the first points of contact within the company.
- To provide support for all Site Service functions.

**YOUR TASKS AND RESPONSIBILITIES**:

- To carry out reception duties such as dealing with visitors and staff (issuing badges, maintaining visitors list, preparing materials for new staff, etc).
- To organize the company’s incoming/outgoing mail (post and courier) as well as organizing the company’s parking facilities; ordering taxis; and distributing travel documents and publications as necessary.
- To organize starters/leavers with Wave WARE Software.
- To carry out routine clerical tasks as assigned (operate a variety of standard office machines); filing, mailings etc as required
- To assist in seminar preparations; to organize catering facilities; to assist with updating Site Service documentation (e.g., SMPs) and to assist other departments as needed.
- To answer incoming calls in regard to our products and forward accordingly to the correct department (e.g. medical, pharmacovigilance, customer service)
- To cover the reception in Zürich, when needed, and take over arising tasks.
- To assist with the SecuriGate system.
- To assist with the BCC Security & Safety Concept, participate in any relevant training and perform the assigned tasks in an emergency or training exercise.
- To ensure stocks are replenished in good time (e.g. stationery, office supplies, etc), storage and distribution of such items.
- To report any complaints/repairs/requests to FM Support and follow-up on any incidents.

**WHO YOU ARE**:

- Commercial education or equivalent.
- Experience working as a receptionist or in a similar role in a multinational organization.
- Customer service experience essential, preferable hotel training.
- Excellent communication and organizational skills.
- Able to work without supervision and accurately, quickly, and neatly.
- Good presentation, outgoing personality, and a pleasant manner.
- Be able to help visitors and staff in a friendly, effective, and efficient manner.
- Punctuality and adherence to relevant health & safety procedures essential.
- Be flexible concerning working hours to meet the demands of the position.
- Must be a team player.
- Fluent in English and German spoken and written; additional languages are a plus (Italian / French preferred)
