Facilities Associate

IDEXX is seeking a part time (50%) Facilities Associate, to be based at our location in Zug, Switzerland. In this role, under the supervision of the Facilities Manager Europe (based in the Netherlands), you will be supporting the day-to-day facility operations at our high-profile commercial office as well as providing administrative support to the leadership team. This is an exciting opportunity for a hands-on individual, who will be the first point of contact for new hires and visitors, to take ownership of our day-to-day facility operations, incl. vendor management of soft and hard services, space database management, smaller projects and Environment, Health & Safety.
Your work will be varied, in a great informal work atmosphere and with the potential for growth. The role is part time, the hours can be discussed and may be flexible based on business need. The role may grow overtime into a fulltime position.

**In this Role you will**:
Oversee general office operation
Greet visitors, answering phone calls and delivering world-class service to internal and external people
Coordinate appointments and meetings and managing staff calendars and schedules if needed
In alignment with EU Facility Team, ensure IDEXX standard at the site
Support Management with relocation
Handle access to the office following on site security standard
Responsible for receiving, dispatching, and following up on (maintenance) work order orders
Manage vendors (provide direction and ensures vendors comply with IDEXX policies and procedures), assign work and evaluate performance of contractors
Manage small (adhoc) facility projects and support larger capital projects
Provide administrative support such as mail handling, soliciting quotes for services, invoice verification, purchase order creation and updating work orders and space management database
Maintain inventory for office supplies and equipment
Performs building audits to identify the need and/or opportunity for maintenance and repair and keeping the building in a nice and tidy appearance to meet IDEXX and Health & Safety Standards
Maintain records of maintenance or other facility activities
Identify opportunities for increased efficiencies and costs savings
Support Wellness and Social activities in the facility
Respond to facility related emergencies (may also be outside of office hours) and being part of the Emergency Response Team
Support onsite meetings
Maintain landlord relationship
**What You Will Need to Succeed**:
The ability to recognize, investigate, communicate and resolve operational problems
The ability to communicate effectively both orally and in writing (including electronically)
The ability to interact with all levels of individuals in a direct, timely, and professional manner
Must be able to act without direct supervision, and exercise independent discretion
Must be able to work under stress and make timely decisions in emergency situations, while remaining calm
The ability to project a professional corporate image in both appearance and customer service
Well organized, detail orientated and ability to multi-task
The ability to gather, record, and summarize information in a logical, sequential manner
Bachelors degree preferably in Facilities or Office Management and mínimal 3 years’ experience in facility coordination in a similar (international) environment
First Aid certificate or willingness to obtain this
Proficiency in Facilities Management Software or other software (such as Maximo and/or SAP)
Proficiency in office software such as Microsoft word, excel, powerpoint and outlook
**Languages**: Fluent German and English are a must
