Proclinical AG is actively seeking a detail-oriented and proactive **Legal Assistant** to join our dynamic legal team. In this role, you will play a crucial part in ensuring the smooth functioning of our clients non-Swiss EMEA and APAC subsidiaries, as well as contributing to the efficiency of our Swiss entities.

This is an exciting opportunity for a highly capable professional seeking a 13-month contract, with potential for extension.

**Responsibilities**:
**Subsidiary Management**:

- Oversee the coordination of all essential documentation for the Board of Directors' and Shareholders' Meetings of Lonza's non-Swiss EMEA and APAC subsidiaries.
- Manage a third-party contractor responsible for preparing documentation for non-Swiss subsidiaries' meetings.
- Prepare and coordinate documentation for the Board of Directors' and Shareholders' Meetings of Swiss entities.
- Handle legalizations, apostille, and related matters.

**Corporate Housekeeping**:

- Utilize organizational tools to create informative and visually appealing organizational charts in Visio.
- Maintain up-to-date and accurate records of Lonza's corporate structure.

**Legal Support**:

- Assist the legal team in Basel with invoice processing, including vendor creation and special payment requests.
- Upload and organize legal documents and policies in the Document Management System (DMS).
- Track confidential notices for sensitive projects and maintain project-related documentation.
- Provide ad hoc support for Lonza Group's Annual General Meeting (AGM).
- Support the legal team in executing agreements and corporate documents using tools such as Docusign, AdobeSign, and wet ink signatures.
- Aid in SIX stock exchange filings using the SIX tool.

**Event Coordination**:

- Contribute to the planning and execution of various corporate events.

**Administrative Tasks**:

- Perform a range of administrative tasks to support the legal team's operational needs.

**Experience**:

- Hold a relevant qualification as a paralegal or equivalent.
- Possess a minimum of 2 years of postqualification experience.
- Fluent in both English and German, with proficiency in additional languages considered a plus.
- Strong organizational skills with meticulous attention to detail.
- Effective communication skills, both written and verbal.
- Proficiency in using software tools such as Visio, DMS systems, Docusign, and AdobeSign.
- Prior experience in corporate subsidiary management, legal support, or related roles.

**Job Types**: 100%, Temporary / Staffing
Contract length: 13 months

**Salary**: CHF70.00 per hour
