**Global Regulatory Affairs Coordinator**:
**Role & Function**
The position will be responsible for a wide range of activities/tasks to support the Head of Global Regulatory Affairs, Ragularory Affairs leadership team (RALT) and and Global Regulatory Affairs department with administrative tasks:

- Administrative support to the Head of Global Regulatory Affairs and RALT members
- Induction and exit planning for employees
- Prepare recurring meetings and conferences for the GRA department - Act as RALT secretary
- Prepare correspondence and presentations
- Make travel arrangements and expense reports. Editor for the GRA internal website and of department collaboration sites

**Key Responsibilities**
- Head of GRA:

- Manage calendar, support travel & expenses- RALT:

- Support travel and expenses reports
- RALT secretary (schedule meetings, prepare agenda, take notes during meetings, manage action log)
- Compile and administrate requests and lists
- Support GRA Town hall and off-sites meetings- IT:

- Editor of the GRA pages on Internal web (Inside)
- MS Teams owner (several sites) and admin of most GRA sites (several sites)
- Manage accesses
- Order new and replacement laptops (SE employees)
- Order new and replacement iPhones (SE employees)- Finance:

- Main contact within GRA for Purchase to Pay department
- Work with Purchase to Pay department to set up purchase orders for off-site consultants and track this in a dedicated list. Support Managers with purchase order for on-site consultants (guidance as needed)
- Check content on consultant invoices
- Check invoices with unclear recipient
- Follow-up on unpaid invoices
- Request credit invoices from suppliers when needed. Request filled in supplier forms from suppliers when needed for the Sobi invoice payment system. Add consultant invoices to excel sheet (for internal invoicing of costs from ICON, IDEC, Advyzom, Raifarm)
- Create participation's lists for invoices with representation costs (lunch, dinner, cake, flowers)- Agreements:

- Upload agreements in the Sobi CMS system for signing and filing (currently also filed on GRA teamsite)
- Upload Power of Attorneys in the Sobi CMS system for signing and filing (also filed on GRA teamsite)
- Be the contact for GRA off-site consultants to set up new agreements and statement of work, update current agreements. Contact suppliers within the Corporate Compliance due diligence administrative process before contract signing (back-log on current agreements)
- Contact suppliers with Sobi Code of Conduct to be signed (back-log on current agreements)- Personnel:

- Plan induction/onboarding of new employees and on-site consultants
- Schedule introduction meetings
- Plan exit of new employees and on-site consultant
- Update and create GRA induction presentations
- Arrange access for GRA team members
- Give IT start-up introduction to new GRA team members
- Set up traveller profiles (SE employees) (CH employees?)
- Order office equipment outside of standard available (monitors, headphones, calendars etc)
- Upload Job Description to RDMA LT site
- Keep organisation chart up to date on RDMA LT site**Qualifications**
- Experience from Life Science/pharmaceutical industry- Experience from previous roles as Coordinator or Assistant- Advanced administrative skills- IT skills- Fluent in English**Personal attributes**
