Providing high quality support service to lawyers of the Department by assisting them in all administrative work, preparation of documentation, responses to requests from third parties, including local and international authorities, estate cases.

Office management of the legal department, under the supervision of the Head of the Legal Department and ensuring that the internal and external requests directed to the Department are timely allocated to the lawyers of the legal department.

Mission
Under supervision of the Head of Legal Department:

- Providing high quality legal and administrative support to the Department lawyers by assisting them in all legal tasks, including projects, clients’ complaints and litigation, successions, etc.;
- Taking in charge of the third parties requests, including requests from national and international authorities, under the supervision of the Department’s lawyer in charge, as well as managing the liaisons with other departments across the Bank with a view to assist the lawyers of the Department with organising and managing the department’s tasks and productions;
- Structuring and operating efficient framework for all legal files, communications with authorities & external counsels, as well as Legal Department’s budget management;
- Independently managing the filing of the documentation pertaining notably to estates and requests from authorities, as well as any other filings necessary upon the department’s lawyers requests;
- Ensuring that interactions and relationships with colleagues (both within and outside the Department) as well as with all professional contacts outside the Bank are conducted in a timely and efficient manner, as well as with a view of high degree of collaboration and facilitation.

Specific tasks shall include:

- Inheritance cases: end-to-end case management (documents review/gathering, legal analysis, accounts freeze/unfreeze, communication with external counsels, etc.);
- Civil, criminal & administrative proceedings and clients’ claims: internal searches & gathering of requested documents, request for freezing/unfreezing of accounts and communicating with authorities, clients’ representatives & private bankers under the supervision of the Departement lawyers;
- Answering and supporting the business lines with standardised requests (e.g. reference letters from private bankers under the supervision of the Head of the Legal department;
- Contribution to development & drafting of internal regulations, procedures and guidelines, including proofreading and formatting;
- Rigourous & attentive case tracking of all clients’ claims and inheritance & litigation cases where involved;
- Recording of such claims & cases in the ad hoc table of the Department, diligent updating of any such table and filing of the related documentation therein;
- Budget-related tasks: upkeeping and management of Legal Department’s budget records, communication with Finance Department regarding provisions, payment of invoices and tracking thereof with external suppliers (incl. outside counsel);
- Legal library: placement of orders and recording of publications;
- Archives & filing: recording and management of Departments’ archived and other files;
- Other administrative tasks: drafting of various correspondence for the Department; researching and using documentary sources (creating and updating files, computer and Internet research); process (recording, etc.) incoming postal mail and telephone calls and organising appointments.

Profil
**Education**

Swiss Law degree (a plus)

**Professional experience**

Min. 5 years professional experience in similar position
