**GBS Administration Associate**
**This is a temporary position for approximately 18 months**
**What this position is about - Purpose**:
To provide overall admin & finance support to GBS Leadership team and GBS Finance Director. The incumbent will contribute to the achievements of GBS business objectives by efficiently carrying out Admin & Finance related processes connected with and not limited to: GBS Leadership team calendar, organizing oneGBS events and activities connected with development of Geneva based GBS employees, CRs tracking and reporting to support HC recoinciliation process, financial and management accounting with effective internal controls to ensure all activities are in full compliance with JTI Policy & Procedures, Operating Guidelines, and J-SOX. The incumbent will be the point of contact for relevant purchase requisitions and will ensure JTI Purchase to Pay policy is adhered to. The incumbent needs to demonstrate discretion and solid judgment in the access and handling of sensitive information.
**What will you actually do?**
**Financial Planning and Business Support**:
- To ensure timely creation of WBS, PRs for the GBS supporting organization should follow up with appropriate departments to collect necessary information for processing
- To ensure timely GRs processing based on the provided PoPs, good quality supporting documents, and full compliance with JTI standards
- To follow up with vendors to ensure POs are complete and properly achieved
**Hiring tracking support**:
- To track CRs for internal controls purposes
- To review the HC file accuracy against the submitted CRs
**Admin support**:
- To support schedule of GBS Leadership Team and perform a full range of administrative services, including scheduling meetings and invitations, and arranging logistics
- To perform clerical duties, make travel arrangements as necessary and provide other administrative assistance, as assigned
- To serve as an expert on matters pertaining to administrative procedures
**Events support**:
- To plan and execute oneGBS events related to workshops/trainings/employee engagement events in accordance with provided instructions
Manage various tasks and projects as they arise and upon manager’s request.
**Who are we looking for - Requirements**:
- University degree or professional qualification in accounting or finance or its equivalent
- At least 3 years in a large multinational company in a similar finance support and service function. (Working experience in audit is an added advantage.)
- Financial accounting and reporting knowledge
- Local GAAP and local tax regulation knowledge
- Good command of English
- Very good communication and organizational skills
- SAP working knowledge is preferred
- MS Office Skills, Excel Advanced
