**Executive Assistant to the CEO | Basel**
**About the role**
You will act as a trusted assistant, support the CEO in executing his duties, and frequently interface with all parts of the company to provide administrative service and ensure that internal and external stakeholders have a positive professional experience. The role focuses not on project or content delivery, but on creating a setting where the CEO can fully concentrate on strategic decision-making. At the same time, you will handle the intricacies of executive administration with finesse—in simpler terms, you’ll feel right at home in a demanding EA role where you can be fully engaged and where your best asset is your classical support approach—understanding that every task, no matter how small, requires the same commitment to delivery. Equally important is your self-sufficiency; you don’t rely on constant feedback. Your dedication to ensuring that the day-to-day interactions of the CEO go seamlessly, complemented by your perfectly organized back-office management, will be the cornerstone of your success. The CEO is a strategic thinker with a brilliant analytical mind who acts highly efficiently—a business leader with decades of success who is forward-looking and dedicated to the company’s future.
**Responsibilities (including but not limited to the following)**:

- Managing the CEO’s diary, planning and preparing calendars, and readjusting calendars as required to prioritize and manage his time effectively.
- Organizing complex travel, including associated logistics, for the CEO’s attendance at national and global meetings.
- Preparing and collating all documents, supporting papers, and presentations in advance of key meetings; liaising with the CEO’s direct reports and senior-level stakeholders; following up on action items; ensuring that the CEO is properly prepared to facilitate decisions to be made; and coordinating input from stakeholders.
- Prioritizing communications and requests to ensure optimum use of the CEO’s time and that matters are dealt with promptly and effectively.
- Composing and drafting presentations and compiling reports, e.g., ensuring input for monthly BoD reporting with requests, including distribution.
- Organizing local and international events, workshops, off-sites, EC meetings, and international management conferences; executing administration tasks end-to-end and developing smooth processes for business execution.
- Assisting in the preparation of spreadsheets and presentations and in compiling reports.
- Reconciling expenses, including credit cards; handling vendor invoices and purchase orders.
- Providing onsite support during leadership meetings (internal/external).
- Collaborating with the group’s admin team, reciprocal collegial coverage with other EAs during absences, and promoting an engaged culture across the organization.

**Required experience, skills, and qualifications**
- Commercial apprenticeship and/or Executive Assistant’s diploma.
- Minimum of 15 years’ experience working as an assistant to C-suite executives in a global PLC; knowledge of company governance and planning of board meetings; nuanced understanding of a corporate matrix organization.
- Advanced-level expertise in MS Office Suite, SharePoint, SAP, and virtual communication tools (Teams, Zoom, etc.).
- Business proficiency in English and German (C2 according to CEFR).
- Deep awareness of a senior leader’s requirements that allows you to prioritize day-to-day workloads and deadlines.
