The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment.
This position is located in the Finance Initiative Unit of the Economy Division at the Geneva Duty Station. Under the day-to-day supervision of the Administrative and Fund Management Officer and overall supervision of the Head of Unit, United Nations Environment Programme Finance Initiative (UNEP FI) and within delegated authority, the Finance & Budget Assistant will be responsible for the following duties:

Budget:
- Generates budgetary or financing reports, including statistical/financial data for tables, charts and spreadsheets using office software and templates.
- Amends, rearranges and edits statistical tables. Makes necessary follow-up with client departments on the above.
- Grants Management: The incumbent assists in preparing budget performance submissions in Umoja: creates unreleased and released budget documents.
- Monitors electronic transmissions of documents (local and overseas) and determines appropriate recipients within the Division or Department.
- Produces layouts of annexes to the budget and overview tables to conform to specifications in the programme budget.
- Summarizes, through statistical tables, all departmental proposals reflecting budgetary and programmatic changes, retrieving information from different updated tables from the Budget Information System and compiles frequently updated reports.
- Assigns sequential numbers to manually prepare allotment advices in accordance with account type, i.e., programme budget, miscellaneous (including working capital fund and revenue-producing activities) and projects. Distributes allotment advices, as appropriate. Answers inquiries.
- The incumbent assists the Administrative Officer in reporting to Donors and Partners, by preparing drafts financial reports for Donors.
- Updates the personnel incumbency file of each mission upon receipt of the monthly incumbency report from the Chief Administrative Officer.
- Obtains information from other offices, e.g., status of unpaid assessed contributions or voluntary contributions to trust funds or special accounts from Contributions Service, financial statements from Trust Fund Unit.
- Accounts Payable: The incumbent initiates first and final payments to Implementing Partners. Transfers budgets to pass through grants from an M1/S1grant. Creates Work Break down Structures (WBSE) which link the funded program with the P1 grant. Creates purchase orders, records expenditure and files all the supporting documents for payments and financial reports.
- Supports budget/financial management, human resources, work programming /planning, and administrative tasks of the UNEP FI Secretariat.
Claims:
- Maintains and updates the Division database on monthly accounts payable to troop contributing countries and generates related reports to ensure accuracy and completeness of contingent-owned equipment, self-sustainment and other claims processed.
Data:
- Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
- Assists with visualizations and updating information material such as web pages or brochures.
General:
- Provides general administrative/secretarial support to the officers.
- Performs other duties as required.

Education
High school diploma or equivalent is required.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
