- Proactively support C-Level Members in all administrative and organizational matters.
- Efficient management of executive calendars, appointments and travel arrangements as required.
- Coordinate internal and external meetings and calls, including assisting in the preparation of Board meetings.
- Prepare expense reports and credit card statements.
- Draft and edit business documents, including emails, memos, reports, and presentations. Additionally managing the required signature process of these documents and internal mails.
- Communicate interactively with sophisticated internal and external clients.
- Provide ad hoc support for various internal projects and assist the team with record keeping and file organization.
- Commercial education or equivalent.
- Minimum of 5 years of experience as C-Level Assistant in an international environment; ideally managing 2+ individuals at the same time.
- Fluent in English (written and spoken) required. Basic to advanced knowledge of German ideally. Other European languages are an advantage.
- Excellent organizational skills and ability to recognize changing priorities, coupled with good situational judgement of and the ability to make decisions independently.
- Strong communication and interpersonal skills with a high level of discretion, confidentiality and integrity while delivering quality work.
- Solution-oriented, forward-thinking and proactive team player who is flexible and able to adapt to changing conditions.
