Context & mission

Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter).

The MSF movement is built around 5 operational centers supported by 24 sections and offices worldwide. MSF Operational Center Geneva (MSF OCG) is one of these centers.

MSF has grown significantly in the last decade, but the HR department has managed this expansion with ad-hoc tools. To better support ongoing demands and the global workforce, OCG has launched an HR transformation initiative which includes the implementation of an HR Information System (HRIS).

Given the increased operational demand and complexity, MSF OCG needs improved systems to better manage people and data. The program will span several years, with incremental rollouts to different populations within the field and the HQ, covering various modules across the employee lifecycle.

To ensure the successful adoption of the new HR Information System (HRIS) and minimize disruption, MSF OCG has established a dedicated Change Management team for this transformation initiative. Change management focuses on preparing, equipping, and supporting employees through the transition, ensuring they understand and adopt new systems, processes, and ways of working. Effective change management is critical to maximizing the benefits of the HRIS, reducing resistance, and fostering engagement across the organization.

Tasks & Responsibilities

We are seeking a Change Management Officer who will support the Change Manager in the successful implementation of the project change strategy.

This entry-level role is ideal for candidates who have already had some exposure to project management and ideally change management and who look to gain experience in change management, stakeholder engagement, communication and training design. The incumbent will help coordinate the change ambassadors network, contribute to communication efforts, and support employees in adapting to new tools and processes. The Change Management officer will collaborate with the HRIS project team, HR, managers, and employees to drive engagement and minimize resistance to change.

As the project is already underway and approaching a peak period for change management activities, the person in this role will need to quickly grasp the context, priorities, and ways of working. Success in this position requires strong organizational skills, proactiveness, and the ability to adapt quickly—taking initiative and delivering results in a fast-paced environment with minimal onboarding time.

Description of main activities:

Stakeholder Engagement and Support

  • Ensure key stakeholders are informed and engaged by supporting targeted communication and feedback mechanisms.
  • Contribute to the development of communication materials that effectively address stakeholder needs and concerns.
  • Maintain accurate records of stakeholder engagement to track involvement and measure effectiveness.
  • Support the establishment and smooth operation of the change ambassadors' network to facilitate knowledge sharing and local engagement.
  • Contribute to ensuring that ambassadors are equipped with the necessary tools and knowledge to support change within their teams.
  • Track ambassador participation and engagement levels to assess the impact of the network on adoption efforts.

Change Adoption Support

  • Help create resources that empower employees to confidently use new systems and processes.
  • Contribute to identifying and addressing common adoption challenges based on feedback and participation trends.
  • Assist in the tracking and reporting on change adoption progress, ensuring key insights inform ongoing change strategies.

Communication & Training Assistance

  • Support the creation of clear, engaging messages that enhance awareness and understanding of change initiatives.
  • Contribute to organizing and executing training sessions that effectively prepare employees for transition.
  • Ensure training and communication efforts are measured for effectiveness through participation data and feedback collection.
Your profile

Education

  • Bachelor's degree in organizational development, Human Resources, Communication, Business Administration, or a related field.

Experience

  • 0-2 years of experience in project management, change management, communications, or a related field (internships or volunteer experience are a plus).

Languages

  • English and French are the working languages of MSF Switzerland. For this position we require at least a level C1 for English and for French.

  • Proactive and able to anticipate.
Terms of employment
  • Full-time position 100% (40h/week)
  • Gross annual salary (for 100%): from CHF 74'028.- to CHF 93'684.- (salary commensurate with equivalent experience and internal salary grid)
  • Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period.
  • Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member.
  • Relocation package if moving from a different country to Switzerland.
