Role Profile:

As a Space Planning Specialist, you will be seconded to our client, Takeda, and play a key role in optimizing their workspace strategy across Europe, Canada, and Singapore. You will act as a strategic partner, collaborating with various teams to develop and implement innovative space planning solutions that enhance productivity and well-being.

Responsibilities:

  1. Global Space Planning:
    • Facilitate discussions with and between personnel, management, and stakeholders regarding space planning and design.
    • Gather and understand current and future headcount forecasts, identify occupancy needs and adjacencies, and develop scenario plans to improve space utilization.
    • Align with global workplace strategy on tools, templates, and best practices to make recommendations and implement space planning and occupancy metrics locally.
    • Draft and sketch architectural designs (space planning) using AutoCAD as needed.
    • Evaluate, specify, and procure furniture and fixtures per local standards, leveraging global procurement agreements and partners where appropriate.
    • Serve as the point of contact for all ergonomic inquiries and facilitate engagement with support experts to develop recommendations as needed.
    • Identify, recommend, and implement process optimization/improvement initiatives.
  2. IWMS Support (Tango):
    • Maintain the Takeda Database in Tango (IWMS), ensuring it includes up-to-date architectural changes, space tracking, and relevant data elements.
    • Following global processes and local workplace strategy, assign new and updated personnel (Moves) to space on a regular basis.
    • Track, manage, and document sharing ratios for functional groups in Tango, making recommendations for changes as needed.
    • Manage space attributes and CAD floor plan updates as needed, following global standards and local strategy.
    • Support the FM team with any CAD drawing requirements needed for asset location.
  3. Occupancy Metrics & Reporting:
    • Track and report global occupancy and utilization metrics per global guidance.
    • Provide leadership in maintaining and distributing reports related to HR changes (terminations, New Hires, and Transfers).

About You:

  • 2-5 years of experience in Space Planning, Architectural Design, or a related field.
  • A high level of service awareness and a team-oriented approach to work.
  • A problem-solving attitude with a structured working style, excellent analytical skills, and a strong attention to detail.
  • Strong coordination, communication, and presentation skills suitable to address all hierarchical levels and partners.
  • Proficient spoken and written English skills. German language skills are desirable.
  • Good MS Office skills, particularly MS PowerPoint and MS Excel.
  • Experienced in working with CAD and IWMS (AutoCAD, Tango).
  • Open-minded and creative with a good overview of the latest market trends and developments in office layouts.
  • Strong communication and negotiation skills suitable for working with partners at all hierarchical levels.
  • Excellent project management skills, with the ability to manage priorities and meet deadlines.
