Job Description:


Under the supervision of the EMEA Central Region Facility Manager, the Facility Assistant is responsible for managing of Switzerland offices.

This is a coordinating position that will directly and indirectly supervise individuals, building staff, operations, and coordinate across the facilities organization at a specific location, set of buildings, or campus environment.

The Facility Assistant drives implementation of company best practices in alignment with client goals and objectives to deliver a well-managed and maintained building.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Responsible for the daytoday operations of the campus, including janitorial, lifesafety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with RA policies and client directives.
  • Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties
  • Respond promptly to requests for building maintenance, repairs, cleaning needs, etc. from building occupants and for the implementation of ongoing contract programs to address and resolve needs and problems
  • Prepares budgets and purchase orders related to the facility(s) or complex as directed
  • Provide information and reports necessary for the development of capital budgets for the facility. This includes contributions towards a plan of maintenance, facility improvement, and cost reduction initiatives
  • Complete understanding of management contract, vendor agreements, and other building/facility contracts and all requirements contained therein
  • Proactively inspect the facility, systems, rooms, common areas, etc. and report back any findings or issues to the Facility Manager
  • Manage contracted security services and works close with the EMEA Region Security Manager
  • Conduct basic investigations under the direction of regional security manager.
  • Oversee all activities related to reception and ensure all processes are in place to ensure the smooth operations of area.
  • Coordinates of reception team and manages the Car Fleet

QUALIFICATIONS

  • 35 years related work experience in a similar role (Exposure to a Multinational company advantageous).
  • Previous experience in managing contracted security services, cleaning services, etc.
  • Contract negotiations experience with suppliers
  • Computer literate (MS Office)
  • Strong written and verbal communication skills
  • Fluent German and good English language skills
