Job Description

We are seeking a talented and motivated Senior Assistant to support part of the Human Health (HH) International Commercial Operations (ICO) Team. Reporting to the AVP, Customer Experience (CX) Enablement Lead and will be responsible for providing administrative support to the CX Enablement team as well as to the Simplification and Harmonization team, which are both exciting evolving areas and teams within HH ICO.

The role will include dedicated support to both team leads on travel and organizational matters, as well as responsibility for projects and activities that concern the broader team.

This is an ideal position for a candidate who works well in a new and dynamic team setting, likes to contribute to and learn from projects or initiatives, knows how to collaborate and align across multiple stakeholders, and who thrives in a truly global team set-up.

This position requires proactivity, dealing with complexity and strong communication skills. It also requires good judgment and accountability, coupled with excellent organizational and computer skills.

Main Responsibilities:

  • Travel, meeting logistics and expense support for 5 team and sub-team leaders

  • Calendar management for team leaders. Organization and coordination of meetings and teleconferences for broader team, including materials, logistics and alignment process

  • Collaborating with ICO lead assistant as well as other stakeholders within HH International and the broader organization on activities, meetings or other responsibilities

  • Patient Support Program administration (estimated with approximately 20% of time)

  • Support on projects or activities that concern the broader team

  • Liaising with operational excellence lead and finance lead on budget management for the teams

  • Assisting with Purchase Orders and approval for resources and managing invoice

Profile

  • High School Diploma or Equivalent

  • Minimum of 5 years administrative experience with at least 2 years supporting broader and ideally international teams

  • Solid experience in performing administrative work that requires initiative, flexibility, independent judgment and record keeping

  • Ability to work under pressure with little or no supervision to handle multiple tasks, as well as demonstrate accuracy and attention to detail

  • Ability to handle sensitive data with discretion and confidentiality

  • Organize, prioritize and coordinate multiple work activities with demonstrated ability to meet deadlines

  • Excellent communication skills with the ability to effectively interact with individuals at all levels of the organization

  • Proficiency in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote)

  • Tech savvy with experience with SAP COMET preferred
