ROLE SUMMARY Provide advanced operational and organizational support to the Cluster Category Lead, enabling the effective execution of strategic category initiatives and cross-functional projects.Act as a key partner in coordinating complex meetings, business reviews, and communications across countries and functions, ensuring seamless logistics and stakeholder alignment.Support the preparation, organization of the category business, assisting in the development of reports, presentations, and dashboards for leadership discussions.Maintain and optimize digital collaboration platforms, facilitate the implementation of new tools and processes, and ensure compliance with all relevant policies and procedures.Diligent adherence to all relevant processes and policies must be maintained to ensure compliance.Demonstrate strong organizational, coordination, and communication skills, acting as a proactive operational partner who drives efficiency, innovation, and continuous improvement within the cluster category.In this role you will:Advanced Coordination & Organizational SupportProactively manage complex, cross-functional calendars for the Senior Director, Cluster Category Lead, ensuring alignment of key category meetingsOrganize and facilitate multi-country virtual and in-person category events, including strategic planning sessions, governance meetings, and PoA workshops, ensuring seamless logistics and stakeholder engagement.Data & Analytics EnablementSupport the collection, organization, and preliminary analysis of category business and operational data for reporting and dashboard preparation.Assist in preparing materials for performance discussions, leveraging analytics platforms and digital tools as directed by the Senior Director.Project & Process ManagementTrack progress of category initiatives, maintaining project trackers and action item logs.Support the planning, tracking, and execution of marketing projects and campaigns, collaborating with cross-functional teams to scope requirements, preparing budgets, and managing logistics.Coordinate documentation and follow-up for new product launches, resource optimization activities, and cross-functional category projects.Digital & Document Management: Maintain and regularly clean up filing and archive systems for marketing documents; optimize digital collaboration platforms to ensure resources are accessible and audit ready.Technical & Digital SupportMaintain and update digital collaboration platforms (e.g., Teams, SharePoint), ensuring that cluster category resources, scientific materials, and project documentation are accessible and well-organized.Stakeholder Engagement & CommunicationPrepare and distribute communications, presentations, and reports for Cluster Category Lead, ensuring clarity and alignment with strategic objectives.Liaise with internal and external stakeholders, including medical, commercial, and enabling functions, to facilitate information flow and resolve operational issues within the category.Compliance & Continuous ImprovementEnsure adherence to Pfizer policies and procedures in all administrative and category project-related activities, including financial transactions and data handling.Ensure all marketing operations and documentation comply with internal policies, SOPs, and local regulations, supporting audit processes as required.Proactively identify and implement improvements to administrative workflows, supporting a culture of innovation and operational excellence within the Cluster Category Team.Support and implement changes and new ways of working, proactively identifying opportunities for efficiency and exchanging best practices with other cluster admins and commercial operations colleagues.Financial & Vendor Management:Provide financial support for marketing operations, including invoice processing, purchase order management, and vendor maintenance, ensuring compliance with company policies and legal requirements.BASIC QUALIFICATIONS Demonstrated strong ability to carry out comprehensive administrative support to leaders, including proficiency in all office responsibilitiesProven ability to plan, organize, and prioritize workload independently to meet cyclical and ad-hoc deadlinesExperience managing conflicting priorities and supporting multiple stakeholdersStrong organizational and coordination skills, with experience supporting senior leaders in a matrix environmentProficiency in digital collaboration tools (Teams, SharePoint, etc.), basic data analysis, and document managementExcellent written and verbal communication skills, with the ability to work effectively with all levels of managementIndependent, proactive, and self-motivated with excellent attention to detailOutstanding digital proficiency across all applications and platforms; high-level computer literacy and experience with a range of software packagesExperience with compliance processes, approval/sign-off systems, and operational platforms (e.g., ARIBA, travel systems, expenses)Previous executive admin/assistant experience in a relevant role/function preferredExperience working with procedures, policies, and ways of working in multiple marketsComprehensive knowledge of Pfizer organizational structure and procedures is essentialDemonstrated positive "can do" attitude and agile mindsetAbility to manage confidential documents and information with excellent judgementSupport and contribute to innovation, simplicity, and continuous improvementPlease note that candidates should be based preferably in any central cluster countries but applications from any other countries in Europe and other cluster countries are also consideredAdministrative
